We are seeking a highly organized, professional, and customer-focused Administrative Assistant / Receptionist to provide front desk coverage, office support, and real estate/office services. The ideal candidate thrives in a fast-paced environment, demonstrates strong interpersonal skills, and ensures smooth day-to-day operations across the office.
Shift: Monday-Friday
Hours:
8am-230pm. (30 hours or less per week)
Pay: $25.50
Key Responsibilities:Front Desk & Administrative Support:
- Provide onsite reception coverage, greeting guests in a professional and hospitable manner.
- Answer, screen, and route all incoming calls professionally.
- Maintain visitor and conference room schedules; prepare rooms prior to guest arrival.
- Assist with catering coordination for meetings and events.
- Handle courier services, package distribution, and mail daily.
- Organize and track accounts payable invoices for approval.
- Assist with event planning and special projects as assigned.
- Maintain front desk and visitor manuals, ensuring updated procedures.
- Serve as primary point of contact for facilities vendors, and assist with environmental health, safety, and compliance needs.
- Ensure physical appearance and functionality of the office.
- Communicate clearly and professionally with colleagues and stakeholders at all levels.
- General office upkeep and liaison for building management on utilities, services, and maintenance requests.
- Manage office seating/floor plans using workplace planning tools; facilitate employee moves and seating adjustments.
- Communicate with teams to coordinate seating arrangements and workflow optimization.
- Order and maintain office supplies (kitchen, bathroom, and other stock).
- Handle vendor deliveries and business mail; arrange courier services as needed.
- Manage preventative maintenance for office appliances and coordinate necessary repairs with vendors or building engineers.
- Assist with onboarding new employees: desk setup, supplies, and /deactivation.
- Support ad-hoc corporate projects across office locations as needed.
- Collaborate with internal teams to support firm-wide events and initiatives.
- Participate in team meetings and utilize systems including Microsoft Office Suite, Outlook, office planning tools, and other relevant software.
- Excellent interpersonal, organizational, and communication skills.
- Ability to work independently, handle multiple priorities, and maintain professionalism under pressure.
- Strong attention to detail and commitment to providing exceptional service.
