UT MAIN CAMPUS PurposeThis position is expected to be the primary point of contact for the department and is responsible with greeting guests and maintaining appropriate staffing of the office and overseeing overall department operations. This position is also responsible for managing travel reimbursements, payments, and various administrative tasks within the department.
ResponsibilitiesAssist RTF Accounting with Payment Processing
- Solicit and submit PIFs, assist faculty with Travel Request Forms.
- Assist in processing honoraria.
- Assist with faculty requests for reimbursements.
- Process all payment vouchers in accordance with university procurement and payment procedures.
- Assist with UT market carts and purchase orders.
- Assist with annual Inventory of equipment.
Scholarship Support
- Coordinate with scholarship committees, chair and development office with all scholarships.
- Communicate award terms with students.
- Collect thank-you letters, agreements, and film clips for donors.
Office Management
- Organize physical aspects of the department, including coordinating faculty office moves and overseeing TA/Lecturer office assignments.
- Ensure office equipment is working properly.
- Staff front desk during business hours.
- Make sure the calendars are up to date and be the point person to send out calendar invites for department meetings and faculty meetings.
Room Reservations and Facilities Coordination
- Coordinate room reservations for faculty.
- Serve as the main point of contact for the college building/facilities manager, including handling IT requests and key requests.
Student Worker Supervision
- Serve as the first point of contact.
- Coordinate student work schedules and approve timesheets.
Course Administration
- Administer Course Instructor Surveys (CIS/CES), grade reporting, and update cross-listings.
- Gather course descriptions for the website.
- Gather syllabi and CVs from faculty each semester.
- Help coordinate Faculty Peer Reviews materials.
- Help coordinate and track Faculty Annual Reviews
- Keep the Faculty Handbook up to date on the Wikis.
- Other duties as assigned
High school diploma with 5 years of experience or 1 year of clerical experience with a Bachelors degree.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications- Experience with UT Systems
- Microsoft 365
- Customer service
- Ability to work independently and with a team
$50,000 + depending on qualifications
Working Conditions- Typical office environment
Flexible Work Arrangements available with at least 1 remote day per week.
