Purpose/ Summary Of Position
HPI is growing quickly and needs to add a full-time Brokerage Coordinator to our Tenant Advisor team! The Brokerage Coordinator serves as a dedicated strategic and operational partner to our Tenant Advisor team. This proactive, driven, and curious professional plays a critical role in managing a wide range of responsibilities—from client service and transaction support to marketing coordination and administrative functions.
Thriving in a fast-paced environment, the Brokerage Coordinator is highly adaptable, able to shift seamlessly between tasks while maintaining a strong grasp of the big picture. Acting as a direct line of communication to brokers and collaborating across departments, this individual ensures efficient service delivery, operational excellence, and high-quality client outcomes.
- Deal Coordination – produce surveys, call brokers to confirm details, set up property tours, etc.
- Financial Analysis
- Prepare marketing materials, market condition reports and coordinate client communications – coordinate with team on marketing
- Manage, monitor, and report monthly on the progress of lease terminations, renewals, rent commencements, and increases.
- Draft Commission Agreements, Engagement Letters, Listing Agreements
- Maintain and account for our subscriptions with various listing services and our team’s listings
- Attend Strategy Sessions with team and others
- Assist with prospecting - research companies for contact information (Names, Phone #s, and Email Addresses)
- Abstract leases and draft proposals and letters of intent
- Assist with team events and client entertainment organization
- Provide administrative support for brokerage activities, including documentation and record‑keeping
- Provide day‑to‑day support, including calendar management, expense reporting, and contact list maintenance.
- 2 years of experience as a Brokerage Coordinator or similar role.
- Bachelor’s degree preferred.
- Ability to multitask and prioritize tasks.
- Detail‑oriented
- Ability to work independently and collaboratively.
- Possess excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and third‑party CRM, commercial real estate software, services, etc.
- Proactive and solution‑oriented; anticipate needs before they arise.
- Attention to detail.
- Strong organizational and time management skills.
