Our client is seeking an Executive Assistant to act as the personal and professional operating Executive Assistant for the Founder/Executive of a high-growth, creator-led business. This role requires a highly detail-oriented, organized, and resourceful professional who can manage complex schedules, prioritize tasks, and anticipate the needs of the executive. The EA is the executive’s right hand, ensuring seamless communication, operational efficiency, and effective time management.
Key Responsibilities- Calendar & Schedule Management: Coordinate and manage the executive’s calendar, including meetings, travel, and personal appointments. Prioritize conflicting demands and provide guidance on scheduling decisions.
- Communication & Correspondence: Draft, review, and send professional communications on behalf of the executive. Manage emails, calls, and other correspondence efficiently.
- Meeting Support: Prepare agendas, briefing materials, and follow-ups for meetings. Take notes and track action items to ensure timely completion.
- Travel & Logistics: Arrange complex domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Project & Task Management: Assist in coordinating special projects, presentations, and initiatives. Track progress and ensure deadlines are met.
- Gatekeeping & Prioritization: Serve as the first point of contact for internal and external stakeholders. Protect the executive’s time and focus by filtering requests and determining priorities.
- Confidentiality & Discretion: Handle sensitive information with the utmost discretion and professionalism.
- Experience in fast-paced, high-volume, high-ambiguity environments.
- Exceptional judgment, prioritization, and communication skills.
- Comfortable making decisions and taking ownership independently.
- Calm, discreet, and confident under pressure.
- Always-on mindset to accommodate global operations and time zones.
