PurposeThe Executive Assistant to the Dean will provide high level, on-site executive support to the Dean of the School of Law, supporting Law School initiatives and providing oversight to the Dean's office.
Responsibilities- Manage the dean's calendar. Prioritize and manage work schedule and flow of work products. Coordinate regularly scheduled and ad hoc meetings for the dean, including agenda planning. Maintain records of meetings, action items, and follow-ups. Manage all forms of communication for the dean including U.S. mail and email. Draft, review, edit, and prepare high-level correspondence, email messages and all written communication.
Review and edit reports as needed. Manage contact lists. Efficiently find and organize information internal and external to the University for decision-making and report purposes. - Greet and attend to the Dean's visitors and provide backup reception assistance. Collaborate with University offices and other colleges and schools on behalf of the Dean and the Law School.
- Coordinate and manage the dean's travel schedule, reimbursements, and all related activities. Process travel and dining reimbursements for executive level visitors.
- Oversee administrative and organizational tasks. Coordinate and manage special projects, conferences, receptions, and events as directed by the Dean.
- Other related duties as assigned.
Bachelor's degree in a field relevant to the work to be performed. A minimum of five years of clerical experience, including at least two years at the Senior Administrative Associate level. Exceptional interpersonal, organizational, and communications skills, with a professional demeanor. Ability to work creatively, collaboratively, and effectively in a complex academic and business environment, engaging with individuals at all levels, including faculty, deans, and institutional leaders.
Demonstrated attention to detail and a resourceful approach to problem-solving. Proven ability to manage multiple projects simultaneously with efficiency and accuracy. Demonstrated initiative, innovation, follow-through, tact, diplomacy, and sound judgment. Extensive experience in effective communications, problem solving, and delivering excellent service. Demonstrated expertise in strategic and tactical planning, relationship management, conflict resolution, critical thinking, and decision making.
Relevant education and experience may be substituted as appropriate.
Preferred QualificationsPrior experience as an Executive Assistant in a higher education setting. Demonstrated knowledge with commonly used business applications at the University of Texas at Austin.
Salary$85,000 + depending on qualifications
Working Conditions- Repetitive use of a keyboard at a workstation
