Position: Administrative Assistant – Full-Time, Direct Hire.

We are seeking an experienced Administrative Assistant with 5–7 years of professional administrative experience to provide high-level support to daily operations, leadership, and cross-functional teams. This role is ideal for someone who is detail-oriented, proactive, and comfortable managing a wide range of administrative and operational tasks in a fast-paced environment.

Key Responsibilities:

Administrative Support
  • Manage calendars, schedule meetings, coordinate appointments, and support daily workflow.
  • Prepare, edit, and distribute correspondence, reports, presentations, and internal communications.
  • Handle incoming calls, messages, mail, shipments, and visitor interactions in a professional manner.
  • Maintain organized filing systems and ensure timely document management.
Operational & Office Support
  • Track office supplies, process orders, and ensure a well-organized workspace.
  • Support travel coordination, including booking flights, accommodations, agendas, and expense processing.
  • Assist with event coordination, meeting logistics, and general office operations.
Project & Cross-Functional Support
  • Support leadership and department managers.
  • Help maintain deadlines, follow-up tasks, workflows, and priority tracking.
  • Coordinate with internal teams as needed.
  • Maintain confidentiality while handling sensitive information.
Required Qualifications
  • 5–7 years of administrative experience in a corporate, professional, or high-volume environment.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication skills: written, verbal, and interpersonal.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • High attention to detail and accuracy.
  • Ability to work independently, problem-solve proactively, and support team needs fluidly.
Preferred Qualifications
  • Experience supporting leadership or multiple departments.
  • Experience coordinating travel, events, or project-based administrative duties.
