The Executive Assistant III (EA III) will support the Director of Provider Finance and the Deputy Director of Hospital and Acute Care Finance or Cost Reporting and Long-Term Services and Supports (LTSS) Finance. Two positions are available. The EA III provides highly advanced professional assistance, manages calendars, coordinates travel and meetings, prepares reports and correspondence, and assists senior department staff with administrative and HR tasks.
The role reports directly to the Director of Hospital and Acute Care Finance and requires independent judgment with minimal supervision.
- Manage calendars and organize e‑mail; flag priority items and track deadlines – 35%
- Route variance reports, correspondence, studies, forms, manuals and publications for approval by the Director and Deputy Director; communicate objectives and decisions – 20%
- Oversee certain purchasing activities, including professional membership renewals, subscriptions, consultant contracts, and supplies; assist with budget preparation and expenditure tracking – 10%
- Schedule meetings and reserve conference rooms for the Director or Deputy Director – 10%
- Assist senior department staff with general human resources and office administration tasks; ensure compliance with HHSC policies – 10%
- Provide back‑up administrative assistance to other directors as needed; give technical assistance on office procedures and document preparation – 10%
- Participate or serve in a supporting role for stakeholder meetings, advisory committees, rate hearings or other events; may require alternate shift or location – 5%
- Knowledge of office management principles, clerical and administrative procedures, and confidential information regulations; preferred knowledge of Texas travel rules.
- Skill in Microsoft Outlook, Word, and basic Excel.
- Ability to manage calendars, maintain organization of document deliverables, and meet timelines.
- Graduation from an accredited 4‑year college or university OR at least 4 years of experience as an Executive Assistant or Administrative Assistant in an office setting.
- Two identical positions available.
- Telework may be available subject to supervisor discretion and agency policies.
