Job Summary

The Administrative Assistant IV provides primary administrative support to the Regional Clinical Laboratory at Austin State Hospital. Responsibilities include complex secretarial work, procurement, budget monitoring, data compilation, and coordination of meetings and special projects. The role requires independent judgment, adherence to agency regulations, and occasional exposure to blood or other infectious materials.

Responsibilities
  • Serve as primary administrative support for the Regional Clinical Laboratory.
  • Prepare routine and special correspondence, procurement and purchasing duties, and building management tasks.
  • Assist in laboratory budget preparation, monitoring expenditures, and financial reporting.
  • Compile, organize, and tabulate statistics and data to generate reports for monitoring and evaluation of Laboratory Services.
  • Maintain filing systems for correspondence, minutes, reports, competency files, and employee tracking.
  • Coordinate meetings, prepare agendas, take and distribute minutes, and manage calendars.
  • Handle mail distribution, review, sort, and route documents to appropriate departments.
  • Maintain credentialing files for certified laboratory staff.
  • Enter work tickets, building status, and manage purchasing through CAPP Financial.
  • Compile materials for nursing conferences, job fairs, and travel arrangements for Nursing Department attendees.
  • Assist in disaster response or Continuity of Operations (COOP) activation, which may require alternate shift patterns or locations.
  • Perform other duties as assigned, including participation in accreditation programs and special projects.
Qualifications
  • Associate’s degree preferred; two years’ experience can substitute for degree.
  • At least 2 years of administrative‑level support experience.
  • Proficiency in MS Office (Outlook, Word, Excel) required.
  • Knowledge of office practices, administrative procedures, and record‑keeping systems.
  • Skilled in written and verbal communication, proofreading, editing, and formatting.
  • Ability to implement administrative procedures, interpret rules and regulations, and train others.
  • Ability to manage multiple projects, meet deadlines, and work independently or as part of a team.
  • Ability to manage purchasing and procurement.
Additional Information

Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks, including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide, and Employee Misconduct. Males aged 18‑25 must register with the Selective Service. All applicants must be at least 18 years of age to be considered for employment at a state‑operated facility;
Waco Center for Youth applicants must be 21 years of age. Flexibility in work hours may be required, including overtime or extended hours. Compliance with HHSC immunization policy is required, and vaccination may be provided. Employees may be required to wear a mask and take other protective measures if not vaccinated against influenza.
