JOB SUMMARYPerforms complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; preparing and editing reports and documents; and providing guidance to others. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
ESSENTIAL FUNCTIONSA. Participates in the planning and execution of an agency program; reviews and routes incoming books, materials, and mail; inspects correspondence, publications, and packages; and maintains records and files, correspondence, and mail room documentation.
B. Prepares and disseminates information concerning agency programs and procedures; prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; and responds to inquiries regarding rules, regulations, policies, and procedures.
C. Trains and assigns the work of mail room administrative support and technical program staff; and develops and presents training materials to staff.
D. Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access. Performs a variety of marginal duties not listed, to be determined and assigned as needed.
MINIMUM QUALIFICATIONSA. Education, Experience, and Training
- Graduation from an accredited senior high school or equivalent or GED.
- Two years full-time, wage-earning mail room operations, customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for six months of experience.
- Valid Texas Class C driver license. Must maintain valid license(s) for continued employment in position. Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date. Must meet and maintain TLETS access eligibility for continued employment in position.
B. Knowledge and Skills
- Knowledge of office practices and procedures.
- Knowledge of United States Postal Service regulations.
- Knowledge of mail room operations preferred.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
- Skill to communicate ideas and instructions clearly and concisely.
- Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Skill to interpret and apply rules, regulations, policies, and procedures.
- Skill in the use of computers and related equipment in a stand-alone or local area network environment.
- Skill to prepare and maintain accurate records, files, and reports.
- Skill to plan work in order to meet established guidelines.
- Skill to train others.
A. Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15-44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
