Executive Assistant | Austin, TX | Part-Time to Full-Time

The Role

We're a growing training and sales consulting business in Austin, Texas. We need an Executive Assistant to become the operational backbone that keeps two business lines running without dropping a single ball.

This isn't a "sit at the front desk and answer phones" job.

This is: own the CEO's calendar and inbox, coordinate projects, manage contractors, handle client communication, and become the person who ensures nothing —nothing— slips through the cracks.

You'll start part-time (~15 hours/week) managing scheduling and communication. As you demonstrate precision, reliability, and follow-through, the role expands to full-time with broader responsibility and increased compensation.

What You’ll Actually Do
  • Manage the CEO's calendar and inbox — triage, respond, prioritize, and protect his time
  • Send proposals and handle client and contractor communication with accuracy and professionalism
  • Coordinate with contractors — track scope, answer questions, give clear direction
  • Support the Operations Manager with data entry, task execution, and customer communication
  • Build and maintain systems that reduce friction and ensure nothing falls through
  • Anticipate needs, flag issues early, and close loops before they become problems
