- Role Overview
The Executive Assistant serves as a strategic partner and trusted advisor to our executive leadership team. This person thrives in fast‑paced, high‑growth environments and brings a sophisticated understanding of executive operations, team leadership, and organizational dynamics.
As the Executive Assistant to the CEO, you will set the standard for executive support excellence, manage a team of Executive Assistants, and serve as the operational backbone for our C‑suite. This is a high‑impact role for someone who excels at both strategic thinking and flawless execution.
This role is based in Austin, TX and will require an in‑office presence of three, sometimes four days a week.
Primary Responsibilities - What You’ll DoExecutive Support & Partnership: Serve as a strategic partner and trusted advisor to the CEO, proactively anticipating needs and exercising sound judgment. Balance the CEO’s personal demands with business priorities to protect their time and ensure focus on the highest‑impact activities. Maintain strict confidentiality around all sensitive financial, strategic, and organizational information.
Calendar & Schedule Management: Own and manage the CEO’s calendar, independently prioritizing and making trade‑offs between competing demands based on strategic business priorities. Gate access and filter meeting requests, coordinate cross‑executive calendars to ensure leadership alignment, and proactively resolve scheduling conflicts with minimal executive involvement.
Communication & Correspondence: Screen and triage all incoming correspondence, knowing when to flag, route to the appropriate member of the Executive team, or prepare for the CEO’s review. Play an active role in planning and drafting both internal and external communications from the Office of the CEO, and serve as liaison between the CEO, Executive Leadership Team, Senior Leadership Team, and key internal and external stakeholders.
Meeting Management & Preparation: Prioritize and coordinate meeting requests with internal and external stakeholders, managing all logistics end‑to‑end. Proactively prepare comprehensive briefing materials, agendas, and talking points, including compiling relevant background from past meetings. Attend select meetings to capture decisions, action items, and key discussions, then own follow‑up and drive accountability across stakeholders.
Travel & Logistics: Manage complex, multi‑city travel itineraries optimized for time and efficiency, anticipating all related needs including visa requirements, ground transportation, accommodations, and on‑the‑ground logistics. Own full expense management including reconciliation, coding, and timely submission.
Events & Offsites: Take the lead on planning and organizing internal corporate events, offsites, and conference travel for both small and large groups of executives, including venue sourcing, contract negotiation, travel and accommodation arrangements, and agenda coordination.
