Brief

Job Description:

The Administrative Assistant (DEO III) works under the general supervision of the Manager II in the Laboratory Reporting Branch. Responsibilities include complex data entry for Texas Health Steps, Newborn Screening, or Microbiological Programs; proofreading demographics; meeting strict deadlines and daily quotas; assisting with training new employees; performing other general clerical duties; and supporting a laboratory-wide safety culture as a liaison to the Safety Office.

The position requires work on Saturdays and/or state holidays.

Essential Functions:

  • Attends work on a regular and predictable schedule in accordance with agency leave policy.
  • Enters complex patient, specimen, and test information into the Laboratory Information Management Systems (LIMS); processes 210–450 submission forms daily, averaging 80 forms per hour.
  • Identifies required additional information and completes work according to Standard Operating Procedure (SOP) manuals.
  • Prints and verifies patient and specimen demographics on no less than 210–450 forms per day; edits and releases corrections the same day.
  • Performs extra duties for each Program; may include alternate shift patterns or location assignments.
  • Services as a liaison to the Safety Office to promote a health‑safe workplace.

Knowledge,

Skills and Abilities

(KSAs):

  • Knowledge of and ability to work with confidential medical records/files/information.
  • Skill in written and verbal communication.
  • Skill in data entry with a high degree of accuracy.
  • Ability to prioritize work to meet deadlines.
  • Ability to work well with others as a team member.
  • Typing speed of 40 words per minute.

Initial Screening Criteria:

  • At least six (6) months of work experience in data entry.
  • Experience in proofreading documents/reports, editing, performing quality assurance checks and/or analyzing documents.
  • Preferred experience working with confidential material.

Additional Information: Must be willing to work Saturdays and federal holidays.
