The Texas Health and Human Services Commission (HHSC) seeks an Administrative Assistant III – Maintenance Support to support operations under the Plant Manager. The role includes administrative duties, technical program assistance, and coordination of plant maintenance activities.
EssentialJob Functions
- Attend work on a regular basis and may be asked to work a specific shift schedule, rotating schedule, extended shift, or overtime as required by agency leave policy.
- Organize, maintain, and safeguard internal records and documentation while ensuring communication is effective and policies are followed, maintaining daily mail, certified mail, and contact lists.
- Coordinate office and facility repairs, communicate with vendors or maintenance personnel, enter repairs into the CAFM system, and ensure completion and proper documentation.
- Act as the Data Coordinator for plant maintenance: manage data, assist users with computer applications, troubleshoot technical and mechanical issues, and keep maintenance records accurate.
- Procure equipment and parts for shop operations in compliance with procurement policies, rules, and regulations; process invoices and related documentation.
- Serve as a central point of contact for internal and external stakeholders, providing professional communication and fostering positive relationships.
- Organize and coordinate meetings, conferences, and seminars, including scheduling, agenda preparation, logistics, and travel arrangements.
- Accurately enter information into databases or systems, verify data completeness, maintain digital and physical files, generate reports, and ensure data confidentiality.
- Ensure staff maintain current AUA certification and provide guidance for those who are not up to date.
- Perform other duties as assigned, including participation in disaster response or Continuity of Operations (COOP) activities.
- Knowledge of office practices and administrative procedures.
- Knowledge of business English, spelling, and grammar.
- Knowledge of state travel policy and procedure.
- Knowledge of record keeping and filing systems.
- Knowledge of HIPAA laws.
- Skilled in written, verbal, and proofreading communications.
- Skilled in time‑keeping and Microsoft Office products.
- Ability to implement and evaluate administrative procedures, interpret rules, regulations, and policies, and communicate effectively.
- Ability to work independently and as part of a team, manage multiple projects, prepare correspondence, and maintain confidential information.
- Ability to interpret complex rules, regulations, policies, and procedures and communicate efficiently in both written and verbal formats.
At least two (2) years’ experience in a professional support role.
