Job Description
Under direct supervision, the Administrative Assistant III – Area Coordinator performs journey‑level administrative duties and technical program assistance to support unit operations. Responsibilities include establishing, tracking, and maintaining internal record‑keeping systems; serving as a key point of contact with the public, internal staff, and external agencies; organizing and coordinating meetings, conferences, and seminars; handling travel arrangements and vouchers; and maintaining structured filing systems.
The role also supports disaster response or Continuity of Operations activation if required.
- Attend work regularly and may work a specific shift schedule, rotating schedule, extended shift, or overtime as per agency policy.
- Establish, track, and maintain internal record‑keeping systems; manage confidential documents with discretion.
- Serve as a key point of contact; communicate professionally with the public, staff, government agencies, and private organizations.
- Obtain equipment, services, and supplies; maintain inventory of office supplies and equipment; follow policy and procedures for procurement.
- Organize and coordinate meetings, conferences, and seminars; facilitate communication before, during, and after events; handle travel arrangements and reimbursement vouchers.
- Gather, review, and analyze documents; prepare and route reports and forms to Director or Area leadership; compile and review studies for accuracy and compliance.
- Maintain efficient filing systems; manage incoming and outgoing communications; coordinate workflow between units; ensure office environment remains organized.
- Perform other duties as assigned, including disaster response or COOP activation if required.

Initial Screening CriteriaAt least two (2) years’ experience in a professional support role.
Additional InformationApplicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide, and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males aged 18‑25 must be registered with the Selective Service. All applicants must be at least 18 years of age to be considered for employment at a state‑operated facility;
Waco Center for Youth applicants must be 21 years of age.
Flexibility in work hours, overtime, or extended hours may be required. Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. Employees may be required to be vaccinated according to their level of contact and to wear protective measures if not immunized for influenza.
