Campus Receptionist Summary
The Campus Receptionist serves as the first point of contact for students, families, staff, and visitors, creating a welcoming and professional front office environment. This role manages daily administrative and clerical tasks, supports campus operations, and ensures efficient communication, organization, and confidentiality across departments.
Responsibilities- Front Desk and Visitor Management: Greet visitors, parents, students, and vendors, ensuring sign‑in/sign‑out procedures are followed. Answer incoming phone calls, redirect calls, and take messages. Work independently or with the Admin Assistant to the Principal using established procedures; prioritize tasks, maintain strong relationships with stakeholders, and stay organized and calm amid frequent interruptions. Direct visitors and students to appropriate offices or locations.
Monitor the lobby and front office area to ensure only authorized individuals enter campus areas. Maintain front desk appearance and organization. Manage student tardy/early pickup processes, issue tardy slips to students when tardy, supervise and monitor student office aides, and assist during emergency drills and campus safety procedures. - Office Logistics & Communication: Receive mail, packages, donations, and other items dropped off on campus and distribute appropriately; maintain bulletin boards, signage, and front entrance communication boards as requested; assist in organizing and maintaining the lost and found and uniform supplies weekly; ensure the staff workroom is stocked with supplies such as butcher paper, copy paper, mailbox support, basic kitchen supplies, and dignity lockers.
- Campus Support Tasks: Assist with facility requests from staff; manage campus binders (visitor logs and volunteers); support substitute check‑in and direct them to classrooms; maintain message boards and front office communication displays; welcome new families and support the enrollment process as needed; manage the School Dismissal Management program.
- Shared Duties with Administrative Assistants: Answer phones and provide general customer service to families and staff; assist in coordinating or scheduling school photos; assist in maintaining supplies for campus staff; manage student tardy/early pickup processes; coordinate substitute teacher scheduling and onboarding as needed; maintain confidentiality regarding student and staff information; support the Administrative Assistant to the Principal in duties as needed.
- High school diploma or equivalent (Associate’s degree preferred)
- Previous front office, receptionist, or administrative experience
- Strong customer service and interpersonal skills
- Excellent verbal and written communication skills
- Proficiency in Google Suite (Sheets, Docs, Slides, etc.) and general office technology
- Ability to manage multiple tasks and prioritize in a fast‑paced environment
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and handle sensitive information
- Professional demeanor and appearance
- Ability to effectively de‑escalate challenging or sensitive situations with students, families, and visitors while maintaining professionalism, composure, and a solution‑oriented mindset
- Experience working in a school or educational setting
- Familiarity with student information systems (e.g., Skyward, Power School)
- Bilingual (Spanish preferred)
- Knowledge of basic attendance procedures and front office operations
