Education and Outreach Communications Coordinator, Office of Sponsored Projects
Position Overview
The Office of Sponsored Projects (OSP) coordinates externally funded research and sponsored projects at The University of Texas Education and Outreach team develops and delivers communications, training resources, and outreach initiatives that support faculty, staff, and the university research community while ensuring alignment with the university’s brand standards.
Responsibilities
- Develop and coordinate operational communications relating to federal research administration policies, sponsor requirements, institutional procedures, trainings, and process updates.
- Produce and distribute newsletters, targeted communications, announcements, and informational resources; maintain a communications publishing calendar and coordinate with subject matter experts.
- Manage audience-specific distribution lists and listservs, and draft content for SharePoint and other platforms to provide clear, consistent operational guidance.
- Support training and resource development for research administration processes, sponsor requirements, and the University of Texas Research Management Suite (UTRMS). Create user-focused guidance documents, job aids, visual materials, and presentations.
- Assist with outreach and engagement activities, including meetings, workshops, campaign initiatives, and informational sessions to strengthen collaboration between OSP and departmental stakeholders.
- Provide administrative and project coordination support for communications initiatives, tracking projects, coordinating timelines, and continuous improvement of communication workflows.
- Participate in professional development activities and remain current with research administration practices, sponsor requirements, communication trends, and university procedures. Perform special projects and related duties as assigned.
Required Qualifications
- Bachelor’s degree in communications, public relations, journalism, English, higher education administration, business administration, or a related field.
- At least six years of experience developing and conducting communications programs.
- Experience drafting, editing, and coordinating professional communications in higher education, nonprofit, governmental, or administrative settings.
- Ability to communicate complex information clearly and effectively to varied audiences.
- Strong writing, editing, organizational, and project coordination skills.
- Experience managing multiple priorities and deadlines in a collaborative environment.
- Proficiency with Microsoft Office applications and web-based communication platforms.
- Attention to detail and commitment to accuracy and consistency.
- Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
- Experience supporting communications, outreach, training, or educational initiatives in research administration or higher education.
- Familiarity with federal sponsor requirements and research administration terminology.
- Experience supporting SharePoint, newsletters, listservs, or internal communications platforms.
- Experience developing user guidance documents, job aids, or training support materials.
- Familiarity with accessibility, editorial, and institutional brand standards.
- Experience coordinating communications calendars or stakeholder engagement activities.
- Experience with graphic design and visual communications tools such as Canva, Adobe Creative Suite, or similar platforms.
Compensation
Salary range: $55,000 plus additional compensation depending on qualifications.
