Requirements

Key Responsibilities
  • Assist with new hire onboarding and document collection
  • Maintain and organize employee records, certifications, and compliance paperwork
  • Review timecards for completeness and accuracy
  • Answer inbound calls and route or follow up as needed
  • Schedule meetings and support daily office coordination
  • Enter and update data in company systems accurately
  • Track job updates and serve as a communication link with field crews
  • Organize daily and weekly reports for leadership review
  • Support billing by organizing documents and flagging missing information
  • Coordinate with internal teams and vendors to keep information flowing on time
  • Requirements
  • Strong attention to detail and organization
  • Clear communication skills (phone, email, and in-person)
  • Basic Microsoft Word and Excel
  • Willingness to learn new systems and processes
  • Ability to juggle multiple tasks without guidance
  • Previous administrative experience is a plus, but not required
  • Work Environment & Schedule
  • Office-based role with regular communication with field teams
  • Fast-paced environment with changing priorities
  • Daily use of computers, phones, and office equipment
  • Business hours range from 6:00 AM to 9:00 PM, seven days a week
  • Schedules assigned based on business needs (4-10 options available)
  • Weekend and holiday availability may be required
