Construction Operations Administrator — THE CONTROL TOWER

$26–$32/hour + Performance Bonus

We are seeking a high-level Construction Coordinator to become the central hub of our growing reconstruction division.

This is not a typical admin role.

You will be responsible for controlling job flow, communication, and billing across multiple construction projects
, ensuring nothing falls behind and every project moves efficiently from approval to completion.

RESPONSIBILITIES Project Coordination & Job Tracking
  • Track construction projects from approval through completion
  • Maintain real‑time job status across all active projects
  • Identify delays and take action to keep jobs moving
Client & Team Communication
  • Serve as a primary point of contact for homeowners and internal teams
  • Coordinate communication between office, field staff, and management
  • Ensure all updates are timely and professional
Contracts & Documentation
  • Send and manage contracts for signature
  • Maintain organized digital job files (estimates, contracts, change orders)
  • Ensure all required documentation is complete before job starts
Billing & Invoicing Coordination
  • Track project billing and payment schedules
  • Follow up on outstanding invoices and insurance payments
  • Support maintaining consistent cash flow across projects
Scheduling & Operations Support
  • Assist with scheduling projects and coordinating timelines
  • Support subcontractor coordination alongside field supervisor
  • Maintain weekly production tracking
What We’re Looking For
  • Strong organizational skills (must be detail-oriented)
  • Excellent communication skills (phone, email, client-facing)
  • Ability to manage multiple projects at once
  • Self‑starter with a proactive mindset
  • Comfortable in a fast-paced construction environment
Preferred Experience
  • Construction, restoration, or home services experience
  • Project coordination or administrative operations experience
  • Experience with scheduling, contracts, or invoicing
  • Familiarity with CRM systems, Google Sheets, or project tracking tools
