We are seeking a highly organized and detail-oriented Job File Coordinator / Office Coordinator to join our growing team.
Position SummaryThe Job File Coordinator / Office Coordinator supports daily office operations by managing job files, coordinating communication, and assisting with administrative tasks to ensure everything runs smoothly and efficiently.
This role works closely with and supports the Office Manager to help maintain organized workflows and effective communication. While the Office Manager oversees overall office operations, this position plays a key supporting role in keeping job files, documentation, and coordination on track.
The ideal candidate is organized, customer-focused, proactive, and comfortable in a fast-paced environment where priorities can shift quickly. Key Responsibilities Job File Coordination- Create, maintain, and manage job files from start to completion.
- Ensure all job documentation is accurate, complete, and submitted on time.
- Monitor job progress and assist with file updates and status tracking.
- Upload and organize photos, estimates, invoices, and supporting documentation.
- Review job files for compliance with SERVPRO and insurance carrier requirements.
- Coordinate with production teams to obtain required job information.
- Assist with job scheduling and workflow tracking to ensure projects move efficiently.
- Answer incoming calls and provide exceptional customer service.
- Schedule appointments and coordinate communication between customers and field teams.
- Assist with customer inquiries and follow-up communications.
- Maintain office records, filing systems, and administrative documents.
- Support billing, collections, and accounts receivable processes as needed.
- Assist management with reporting and administrative projects.
- Help create a positive, engaging, and fun workplace culture by organizing office celebrations, decorating for holidays and special occasions, and contributing ideas that boost team morale and employee engagement.
- Assist with planning team events, recognition activities, and office initiatives that help make SERVPRO of Sarasota a great place to work.
- Serve as a primary point of contact for customers throughout the restoration process.
- Communicate professionally with homeowners, insurance adjusters, vendors, and team members.
- Ensure customers receive timely updates and outstanding service.
- High school diploma or equivalent required.
- Previous administrative, office coordination, customer service, or project coordination experience preferred.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Strong attention to detail and problem‑solving skills.
- Friendly, upbeat, and professional demeanor with a naturally positive attitude and strong interpersonal skills.
- Experience with DASH by Next Gear or similar restoration management software is highly preferred.
- Experience in restoration, construction, insurance, property management, or related industries is a plus.
- Knowledge of insurance claims and restoration industry processes.
