The Assistant Dispatcher supports the Dispatcher by providing administrative, scheduling, and communication support for time‑sensitive concrete delivery operations. The role requires strong organizational skills, high attention to detail, and the ability to remain calm and effective while handling multiple requests from field personnel, vendors, and internal stakeholders at the same time.
Essential duties and responsibilities- Assist the Dispatcher in coordinating daily concrete deliveries to job sites to ensure on time service and efficient routing.
- Maintain and update concrete order logs in Excel and the Access database, including order details, delivery times, and any changes or cancellations.
- Retain and organize electronic and paper records of concrete orders, inspections, and testing documentation for easy retrieval.
- Draft, send, and track emails and text messages to field personnel, drivers, vendors, and customers regarding schedules, job locations, delays, and changes.
- Help schedule inspections with city, county, or state officials, and coordinate concrete testing and pumps as directed by the Dispatcher.
- Monitor incoming calls and messages, prioritize needs, and route information to the appropriate person while maintaining composure in hectic situations with multiple simultaneous requests.
- Communicate job locations, special instructions, and schedule changes to delivery drivers in a clear and courteous manner in both English and Spanish, as needed.
- Assist in preparing basic reports from Excel and the Access database for the Dispatcher and management to identify issues, delays, or trends.
- Support the Dispatcher in maintaining effective working relationships with concrete vendors, field personnel, and inspectors through timely and professional communication.
- Provide general administrative support related to dispatch operations, including filing, copying, scanning, and organizing dispatch documentation.
- Perform other duties and tasks related to dispatch and field operations as instructed or assigned by the Dispatcher.
This is a full‑time position. The work schedule and hours will be established by the Dispatcher based on operational needs and may include variations in start and end times, as well as occasional early mornings, late afternoons, or weekend work as required.

- High school diploma or equivalent.
- Bilingual English/Spanish with the ability to speak, read, and write professionally in both languages.
- Strong organizational skills and attention to detail, with the ability to maintain accurate records and follow up on multiple open items.
- Demonstrated ability to multi‑task and stay calm in hectic situations (for example, multiple calls and messages coming in at once).
- Proficient in Microsoft Excel (data entry, basic formulas, sorting and filtering) and comfortable working with an Access database for entering and retrieving information.
- Proficient in email and texting communication for business purposes, including clear, concise, and professional messaging.
- Strong verbal and written communication and interpersonal skills; enjoys communicating and collaborating with others at all levels of the organization.
- Reliable and punctual, with a strong sense of responsibility and follow‑through.
- Ability to work well in a team environment, accept direction from the Dispatcher, and self‑motivate to complete tasks with minimal supervision.
- Ability to work under pressure and adapt to changing priorities and schedules.
