Job Summary

The receptionist is responsible for handling front office reception and administrative duties, including greeting all people they encounter with kindness, welcoming those visiting the parish office, answering phones, handling email inquiries, and sorting and distributing mail.

Job Duties
  • Must be a practicing Catholic in good standing.
  • Must be certified in the Diocese of Austin’s Ethics and Integrity in Ministry (EIM) within 90 days of employment, and maintain certification throughout the employment period.
  • Greet individuals that enter the parish office.
  • Answer phones, respond accurately or forward to the appropriate person.
  • Interact with all in a professional and courteous manner.
  • Answer and/or forward incoming emails.
  • Update Phone Recordings as necessary.
  • Sort and distribute incoming mail.
  • Collect intake for financial assistance requests.
  • Serve as Baptism coordinator.
  • Act as Sacramental recordkeeper.
  • Serve as intake for funeral requests for the clergy.
  • Liaison between Ministry Leaders and Staff Points of Contacts.
  • Schedule Mass Intentions and reconcile offerings.
  • Book Clerical Endowments, and remit funds.
  • Assist with new parishioner registration.
  • Maintain Welcome Lobby with coffee, water and atmosphere.
  • Assist in proofreading communications.
  • General office and administrative duties as assigned in order to support the Pastor, Business Administrator, Director of Office Administration, Clergy, and/or other office staff as directed.
  • Serve as backup as needed for office personnel.
  • Other duties as assigned.

  • Ability to maintain confidentiality at all times.
  • Ability to listen actively and compassionately.
  • Ability to answer and manage multi-line telephone system.
  • Ability to retain information and disseminate it to appropriate people in a concise fashion.
  • Sense of urgency to work as a self-starter with minimal management oversight.
  • Solid organizational skills.
  • Ability to prioritize tasks and meet deadlines.
  • Ability to proficiently communicate in both oral and written communication.
  • Knowledge and experience working with a variety of computer applications including, but not limited to:
    Microsoft Word, Excel, and Publisher and database management.
  • Ability to follow instructions furnished in verbal or written format.
  • Ability to speak English; or Spanish (preferred but not required).
Minimum Qualifications Education and Trainings
  • High School Diploma or GED acceptable to the Texas Education Agency.
Experience
  • Three (3) years of experience in an office setting providing administrative services.
Language
  • Bilingual English-Spanish (preferred but not required).
Catholic Requirement
  • Must be a practicing Catholic in good standing.
Licenses/Certifications
  • Valid Texas or government issued I.D.
  • Must be certified in Diocese of Austin EIM within 90 days of employment, and maintain certification throughout the employment period.
Working Conditions
  • All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
  • The Parish is an at-will employer.
  • All buildings and vehicles owned by the Parish are tobacco free.
  • Working in a fast-paced environment with priorities and plans that may change rapidly.
  • Working on weekends, evenings, and some holidays may be required.
  • Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations.
  • Will be required to adhere to established dress codes and conduct standards.
  • May be required to use personal or parish vehicle to drive to off-site locations.
  • Travelling within and outside the parish to meetings and other events may be required, and travel may require overnight lodging.
