Administrative Assistant IV – Review and Release Processing – Parole Division, Austin
The position provides highly complex administrative support for the Parole Division, focusing on review and release processing. The incumbent coordinates program assistance, develops policies, manages records, performs criminal information searches, and provides training.
Job SummaryPerforms advanced technical program assistance work for an agency program; prepares, interprets, and disseminates information concerning agency programs and procedures; coordinates work with organizational units of the agency; and provides liaison with other staff, departments, officials, agencies, and organizations. The role also develops administrative and technical assistance policies and procedures, responds to inquiries, assists in research, coordinates correspondence and reports, and maintains filing systems.
Additional duties may be assigned as needed.
- Provides advanced program assistance and disseminates information concerning agency programs and procedures.
- Develops administrative and technical assistance policies and procedures; responds to inquiries and assists in research.
- Coordinates preparation, editing, and distribution of correspondence, reports, and documents; maintains record‑keeping systems.
- Performs criminal information searches and retrieval using the Texas Department of Public Safety criminal history system.
- Provides training in the program area.
Must obtain a Texas Law Enforcement Telecommunications System (TLETS) policy and procedures certificate within six months of employment and maintain eligibility.
Knowledge and Skills- Knowledge of office practices and procedures.
- Knowledge of applicable state and federal laws, rules, regulations, and statutes.
- Knowledge of agency and departmental structure, policies, and procedures.
- Strong written and verbal communication skills.
- Ability to coordinate with staff, departments, officials, agencies, organizations, and the public.
- Interpretation and application of rules, regulations, policies, and procedures.
- Problem‑solving techniques.
- Computer proficiency in a stand‑alone or local area network environment.
- Accurate record‑keeping and reporting.
- Microsoft Office Suite (Word, Excel, Access, PowerPoint) or equivalent.
- Training employees.
- Typing speed of 45 words per minute with minimal errors.
- Physical ability to walk, stand, sit, kneel, push, stoop, reach, grasp, pull, bend, climb, see, write, read, speak, analyze, alphabetize, lift and carry under 15 lbs., and operate a motor vehicle.
- Work conditions include indoor work, proximity to machines, radiant and electrical energy, close interaction and solitary work, irregular hours, and travel by car, van, bus, or airplane.
- Equipment used includes computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
