Job Title

Administrative Assistant IV - Criminal Investigations

Job Summary

The Criminal Investigations Division is seeking an Administrative Assistant IV whose work will involve complex administrative support or technical program assistance work for the Child Exploitation Unit, Law Enforcement Division. Work involves dissemination of information, maintenance of filing systems, data entry, and general administrative support. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.

Essential Position Functions
  • Prepares, edits, and distributes correspondence, reports, and statistical data; calls for service and manages spreadsheets and documents.
  • Performs general office duties such as filing, maintaining filing systems, answering and routing phone and email calls, greeting guests, sorting unit mail, and ordering and maintaining office supplies.
  • Prepares mailouts for unit employees.
  • Coordinates meetings and prepares related materials.
  • Compiles and edits data for charts, graphs, and databases; prepares summaries or reports.
  • Manages and maintains schedules and travel arrangements for unit staff.
  • Prepares and compiles presentation and statistical materials.
  • Manages case files: opens and closes unit cases.
  • Assists with unit monthly inventory reporting: verifies equipment location, tracks inventory information, prepares forms, completes spreadsheets, submits monthly and annual paperwork, and maintains unit files.
  • Prepares Public Information Act (PIA) responses for the unit and detailed reports for the National Center for Missing & Exploited Children, Criminal Investigations Division management, and grants agencies.
  • Assists division management with special projects and related work as assigned.
  • Maintains relevant knowledge necessary to perform essential job functions.
  • Attends work regularly in compliance with the agreed-upon work schedule.
  • Ensures security and confidentiality of sensitive and protected information.
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity.
Minimum Qualifications
  • High‑school graduation or equivalent.
  • Four years of full‑time experience in office or administrative support or closely related fields.
  • Knowledge of office practices, administrative procedures, and the criminal justice system.
  • Proficiency with Microsoft Office.
  • Ability to handle multiple tasks, prioritize, and meet deadlines.
  • Effective oral and written communication skills.
  • Sound judgment and decision‑making ability.
  • Positive response to constructive feedback.
  • Ability to work cooperatively in a professional office environment.
  • Excellent customer‑service skills.
  • Willingness to work in person at the designated OAG location for every work week (unless on approved leave).
  • Ability to arrange personal transportation for business travel.
  • Willingness to work more than 40 hours as needed in compliance with FLSA.
  • Physical ability to lift and relocate up to 30 lb.
  • Successful completion of an extensive background check.
  • Ability to travel (including overnight) up to 5 % of the time.
  • Valid driver’s license.
Preferred Qualifications
  • Bachelor’s degree from an accredited college or university (experience may substitute for education on a year‑for‑year basis).
  • Experience communicating with local, state, and federal law‑enforcement agencies.
  • Knowledge of Salesforce Timekeeping & Travel, Case Management systems (Litify, Crimestar), OAG policies, and Salesforce Travel System.
  • Ability to work with multiple criminal‑justice organizations.
  • Notary Public and CJIS certification.
  • Proficiency in Spanish (read, write, speak).
