POSITION SUMMARY
The Administrative Assistant to the Head of School supports the efficient and effective operation of the instructional division by providing high-level administrative, organizational, and relational support. This role serves as a central point of communication for students, parents, and faculty, helping to maintain a well-ordered, welcoming, and mission-aligned environment.
With a posture of hospitality and service, the Administrative Assistant manages daily operations, coordinates communication, and supports the Head of School and faculty in carrying out the work of student formation. This role requires strong organizational skills, attention to detail, discretion, and the ability to anticipate needs in a dynamic school environment.

Office Management & Daily Operations
- Coordinate the daily operations of the instructional office to ensure efficiency and order
- Manage the flow of communication, paperwork, and information within the division
- Maintain an organized and welcoming office environment
- Be present and available during peak times for student, parent, and faculty needs
- Provide administrative support to the Head of School, including scheduling, communication, and coordination of tasks
- Support faculty by assisting with administrative needs and facilitating communication
- Track and manage delegated tasks to ensure timely completion
- Assist with division-wide projects, events, and initiatives
- Serve as a primary point of contact for parents, students, and visitors
- Maintain clear, timely, and gracious communication with families and staff
- Help ensure consistent communication between divisions when needed
- Respond to inquiries or direct them to appropriate personnel
- Cultivate a warm, welcoming environment for all visitors to the office
- Greet and assist guests with attentiveness and care
- Demonstrate a posture of hospitality that reflects the mission and values of Regents
- Helps with attendance
- Support processes related to grades, transcripts, and student rosters in the school's information system
- Ensure proper organization and confidentiality of all student information
- Serve as the main point of contact for substitutes for the School of Logic
- Coordinate substitute scheduling, communication, and coverage to ensure instructional continuity
- Substitute teacher management system point of contact for Logic, including ensuring faculty absences have been entered and reconciled.
- Perform general administrative duties, including copying, mailing, and document preparation
- Assist with mailings, reports, and other school communications
- Support data entry and updates within school systems
- Help manage calendars, events, and deadlines for the division

- Proficiency in Microsoft Office (Outlook, Word, Excel) and willingness to learn school systems
- Ability to work collaboratively and contribute to a unified team environment
- Bachelor's degree or equivalent experience preferred
- Minimum of 3-5 years of administrative or office experience preferred
