Answers the telephone in a courteous manner and directs calls to the appropriate destination; records accurate and complete messages when necessary; receives and receipts deliveries and donations; greets and announces visitors and clients; provides general information about The Salvation Army's operations and services; performs routine clerical work such as typing and filing.
Key Responsibilities- Receives, greets and announces visitors in a courteous and tactful manner; provides assistance to callers and visitors by answering questions and providing instructions and referrals.
- Sorts and distributes mail; ensures all mail reaches appropriate destination; assists with preparing bulk‑mail.
- Receives and prepares receipts for donations, packages, express mail and items delivered to the lobby; notifies proper individuals of item arrival by telephone and/or e‑mail.
- Inputs donation information into database accurately and in accordance with established timelines and procedures.
- Provides administrative support for the Angel Tree program; assists in registering clients; makes additional copies of needed paperwork; answers general questions regarding the program.
- Answers the telephone and transfers calls to the appropriate destination; responds to callers' questions and provides accurate information.
- Telephones others to communicate messages; records accurate and complete messages; ensures the timely and accurate distribution of messages through telephone and/or e‑mail.
- Receives, greets and announces visitors in a courteous and tactful manner; provides assistance to callers and visitors by answering questions and providing instructions and referrals; screens sales representatives soliciting to The Salvation Army.
- Notifies proper individuals when visitors or clients have arrived; ensures that visitors and clients have signed‑in.
- Records and updates statistical information; ensures the accuracy and completeness of the same; records community assistance into databases.
- Adds/deletes names and extensions to the phone list to ensure the list remains up‑to‑date on a daily basis; proofreads telephone lists for mistakes before the list is printed.
- Sorts and distributes mail; ensures all mail reaches appropriate destination; assists with preparing bulk‑mail.
- Orders office supplies and ensures that the office supply inventory is maintained at a level to meet the needs of the department; prepares purchase requisitions and orders equipment and any other special items required for the office operations.
- Assists in setting up meeting rooms; sets up tables and chairs; puts ice in glasses and sets out drinks.
- Performs other administrative duties as requested.
- Creates staff, volunteer, and board members' name badges.
- Ability to meet attendance requirements.
- Ability to read, write and communicate the English language effectively.
- Ability to operate a telephone and/or switchboard.
- Ability to sort documents alphabetically and numerically.
- Duties are usually performed seated; sitting may be relieved by brief or occasional periods of standing or walking.
- Moderate amount of physical effort required associated with walking, standing, lifting and carrying light to moderately heavy objects (25‑50 lbs.) frequently.
- Work is usually performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomfort associated with noise, dust, dirt, and the like.

Skills and Abilities
- Ability to direct phone calls to the appropriate person or destination.
- Ability to respond to and assist callers and visitors in a calm, courteous and tactful manner.
- Ability to record accurate and complete messages.
- Ability to perform clerical support work while operating the multi‑line telephone.
- Ability to maintain an adequate supply of applications, informative materials and/or brochures for distribution to visitors.
- Ability to respond to emergencies in a calm and effective manner.
- Ability to plan and coordinate the distribution of food and commodities to the public.
- Ability to project a positive and professional image of The Salvation Army.
High school diploma or G.E.D.; prior experience working with the public performing customer service or receptionist responsibilities; or any equivalent combination of training and experience which provides the necessary knowledge, skills and abilities.
CertificationsValid State Driver's License (Preferred)
