We are looking to hire a Section 504 Coordinator to strengthen the district-wide organization, compliance, documentation, and meeting facilitation systems for scholars protected under Section 504.
The Section 504 Coordinator will support all campuses across the district with a focus on Section 504 records, annual review timelines, transfer processes, parent communication, meeting scheduling, committee facilitation, documentation, accommodation communication, and compliance tracking. This is primarily a records, compliance, communication, and meeting facilitation role. Section 504 eligibility and accommodation decisions are made through the Section 504 committee process.
Essential Duties and Responsibilities:
- Maintain organized and accurate records for all scholars with active Section 504 plans
- Track annual Section 504 review dates, reevaluation timelines, transfer meetings, parent requests, and other required compliance deadlines
- Schedule, coordinate, and send invitations for Section 504 committee meetings, including annual reviews, transfer meetings, eligibility meetings, reevaluation meetings, and parent-requested meetings
- Prepare Section 504 electronic paperwork, meeting documents, notices, and records prior to meetings
- Facilitate Section 504 committee meetings in a professional, organized, and compliant manner
- Document Section 504 committee discussions, decisions, accommodations, and required notices accurately within the Section 504 paperwork
- Prepare draft and final copies of Section 504 paperwork for submission to parents/guardians or adult students
- Ensure parents/guardians receive appropriate Section 504 documentation, notices, and procedural safeguards
- Send communication to relevant staff after Section 504 meetings outlining finalized accommodations and supports
- Ensure teachers and appropriate educational stakeholders have organized access to finalized Section 504 accommodation information for implementation in the school-based setting
- Receive Section 504 plans and records for incoming scholars and input plans into the district’s designated student information and/or compliance platform
- Schedule transfer Section 504 meetings for scholars enrolling from other districts, as needed
- Fulfill parent/guardian requests for copies of Section 504 documentation in accordance with district procedures and confidentiality requirements
- Fulfill Section 504 documentation requests from receiving districts, agencies, and approved outside entities, including the Office of Disability Determination for the Social Security Administration, in accordance with district procedures
- Coordinate translation and interpretation for Section 504 meetings and paperwork in accordance with parent/guardian language needs
- Serve as a primary contact for parents/guardians regarding Section 504 meeting scheduling, documentation, procedural questions, and accommodation records
- Coordinate the documentation, scheduling, and meeting process for Section 504 referrals and evaluations
- Collaborate with evaluation staff, LSSPs, dyslexia specialists, nurses, counselors, campus leaders, and other relevant personnel regarding Section 504 evaluation and eligibility processes
- Support the documentation and committee meeting process for scholars considered under Section 504 due to dyslexia or other suspected disabilities
- Maintain an understanding of best practices and legal requirements related to Section 504, student records, confidentiality, dyslexia procedures, and accommodation documentation
