Our ideal candidate will be proactive, adaptable, and able to manage multiple tasks efficiently with a positive attitude. You will be the point person for managing our CEO and CFO’s calendars and interactions with customers, Board members, and investors. You will also be the point person, brainchild, and executor of multiple Skimmer events, and an upholder of our company culture. You are someone who is proactive, able to juggle multiple initiatives, and a builder of relationships internally and externally.

This role, based in Austin, TX, reports to our VP, People, and supports our Executive Leadership Team.

Key Responsibilities:

Administrative Support:
  • Assist the executive team with scheduling meetings, appointments, and travel arrangements.
  • Prioritize and manage multiple calendars to ensure time efficiency.
  • Coordinate internal and external meetings, ensuring all logistical details are handled.
  • Maintain confidentiality while ensuring organization and security around confidential data and files.
  • Be a point person for administrative projects—assisting with some, delegating tasks with others.
  • Proactively assess executive needs and reach out to assist to avoid bottlenecks.
Events Management:
  • Own the planning, organizing, and execution of company events for our 115+ person team, host online and in-person team‑building activities, and act as the point person for corporate meetings.
  • Bring creativity and fun to all Skimmer events—internal and external—to delight customers, investors, and employees.
  • Manage vendor relationships, including negotiation of terms, invoicing, and performance tracking.
  • Work with cross‑functional teams to ensure branding, invitations, and agendas are well coordinated and aligned to the event’s goals.
People Team Responsibilities:
  • Work with People Team members to create delightful candidate and employee experiences, including scheduling, welcoming, and follow‑up communications.
  • Serve as backup for Office Management and HR Operations work, as appropriate.
  • Manage Executive Team goals and waterfall goals for their teams to ensure transparency and tracking across Skimmer.
What you bring:
  • Proven experience as an Executive Assistant or Administrative Assistant, Project/Events Manager, or similar role in a fast‑paced, tech‑focused, high‑growth environment.
  • Comfort with supporting multiple executives with different asks across a leadership team.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Takes a strategic view to operational projects with detailed filing, project management, and document tracking.
  • Complex scheduling and calendar management experience—strong use of tools to optimize and streamline scheduling.
  • Excellent written and verbal communication skills.
  • Highly proficient with productivity tools (Google Suite and Slack preferred), and using AI for research, communications, and idea generation.
  • Strong vendor management and negotiation.
  • Experience with 75+ person event management.
  • Detail‑oriented with a proactive approach to problem‑solving.
  • Ability to work independently and collaboratively in a team environment.
Preferred Qualifications:
  • Familiarity with project management tools (e.g., Monday, Notion, Asana, Trello).
  • Experience working in the SaaS or tech industry preferred.
  • Previous experience in managing swag and event coordination.
  • A positive, flexible attitude and a willingness to adapt to a fast‑changing environment.
