Job Summary

This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community.

Responsibilities
  • Complete daily transactions and tasks related to the financial operation of the community, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables.
  • Operate the property management software (Yardi/One Site) and ensure all required fields are correctly entered and updated, with regular backups to maintain system integrity.
  • Review resident files and accounting records to determine unpaid and/or late fees, communicate with residents regarding outstanding balances, implement collection procedures, and enforce leases to maximize revenue.
  • Review and submit invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining community manager approval, coding charges to appropriate Chart of Account codes, and managing communication between vendor/contractor, accounting, and client/owner as needed.
  • Follow established procedures for evictions, including proper notice requirements, executing evictions, and representing the community in court hearings and eviction proceedings.
  • Process resident move‑outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, and processing dispositions in accordance with established procedures and legal requirements.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and taking appropriate action to resolve and address service issues.
  • Act as the on‑site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make‑ready tasks with the maintenance supervisor, and ensuring the community operates in compliance with company policies, procedures, and business practices.
  • Assist in managing the client/owner relationship by meeting with owners, conducting community tours, providing updates and information about performance, and responding to owner requests as needed.
  • Support leasing and marketing efforts by greeting prospective residents, gathering prospect information via the Guest Card, showing ready apartments and models, closing leases and obtaining deposits, and assisting completion of rental applications and credit verification.
  • For California locations: review all completed move‑in files prior to submission to the Community Manager for review and approval.
Qualifications
  • Bachelor’s degree in Business Management, Communications, or a related field from an accredited college or university.
  • 1–3 years of relevant experience in residence life and/or property management demonstrating community management, sales, marketing, and customer service skills to manage day‑to‑day operations, resolve customer complaints, complete financial records, documents, and reports, increase sales revenues, and coordinate team work.
  • Understanding of lease terms and lease enforcement, including collections.
  • Excellent written and verbal communication skills.
  • Detail‑oriented and self‑motivated with the ability to work independently and as a collaborative team member.
Specialized Skills
  • All required state and local licenses or certifications.
  • Valid driver’s license to operate a golf cart on property.
  • Proficiency in Internet, word processing, spreadsheet, and database management programs to produce required reports and documents.
  • Strong proficiency in property management software (Yardi, One Site, Entrata, etc.).
