PurposeThe UTemp Administrative Associate for the McCombs MS Programs Office (MSPO) serves on the Operations Team and will provide focused administrative support. This role reports to the MSPO Director of Operations and Strategic Initiatives. Desired start time is as soon as possible. Duration of assignment is anticipated to be through early August 2026 but this may change depending on department needs.
Responsibilities- Answering student inquiries regarding tuition, billing, registration, scholarships, payments, and residency status. Assist with registering students for courses (pending training and systems access). Assist with creating bills, fee waivers, and scholarship distribution awards. Initiating, monitoring, and completing vendor payment requests related to events and workshops. Greeting guests and answering incoming phone calls.
- Collaborate with Events Manager as needed for logistical support of MSPO events. Monitoring a shared MSPO Registrar email inbox. Attending bi-weekly Operations Team meetings to stay apprised of team initiatives and needs. Collaborating with the Director of Operations and Strategic Initiatives to ensure the team is supported administratively to accomplish all tasks and goals.
- Bachelor's degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience.
- Ability to work a minimum of 30 hours/week, on-site, during normal core business hours.
- Reliable transportation and ability to navigate UT/UT-adjacent parking.
- Proficiency in Microsoft Office including Outlook, Teams, Word, and Excel.
- Comfortable using Zoom and MS Teams video.
- Excellent communication and customer skills.
- Comfortable in a fast-paced professional environment.
- Previous experience with Mainframe, DEFINE, FRMS, and/or McCombs Payment Portal.
- Previous experience in an Option III and/or self-Registrar environment.
- Advanced Excel skills.
