The Goodwill Excel Center for Adults opened in 2014 as an open-enrollment public charter high school for adults ages 18 to 50. The Excel Center Adult High School transforms lives in a supportive and holistic learning environment where all students are empowered to achieve.
POSITION SUMMARY:
The District Administrative Coordinator provides administrative and operational support to district leadership for The Excel Center. This role coordinates meetings, prepares materials, supports cross-campus initiatives, and helps ensure effective communication across campuses. The District Administrative Coordinator partners with the Executive Operations Manager and district leadership to support organizational priorities, district initiatives, and district-wide events. This position also serves as backup support for campus front desk operations during breaks, lunches, and staff absences to ensure continuity of service.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support to district leadership including calendar coordination, meeting scheduling, and preparation of meeting materials.
- Coordinate logistics for district meetings, leadership convenings, and professional development sessions.
- Prepare agendas, reports, presentations, and meeting notes for district leadership meetings.
- Manage district leadership calendars and coordinate scheduling across campuses when needed.
- Maintain district administrative documentation, shared files, and operational resources.
- Coordinate district purchasing and administrative processes as needed.
- Support district reporting and documentation related to operational or program initiatives.
- Serve as a liaison between campus administrative staff and district leadership.
- Partner with the Events Coordinator to support planning and execution of district-wide events, celebrations, and leadership gatherings.
- Assist with logistics for district staff meetings, professional development, and recognition events.
- Support communication and coordination for district initiatives across campuses.
- Assist with documentation and coordination of district projects or initiatives.
- Submit and track service requests related to facilities, technology, or operational needs for district leadership.
- Serve as backup support for campus front desk operations when needed.
- Provide front desk coverage during scheduled breaks, lunches, or staff absences to ensure uninterrupted campus operations.
- Assist with greeting visitors, directing calls, and supporting students or staff when providing front desk coverage.
- Maintain familiarity with campus administrative procedures to ensure seamless support when coverage is required.
SUPERVISORY RESPONSIBILITY:
This position does not have supervisory responsibilities.
REQUIRED QUALIFICATIONS:
- Minimum of 2 years of experience in administrative support, customer service, or a related role, preferably in an educational or nonprofit setting.
- Strong verbal and written communication skills with attention to professionalism and tone.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Docs), and standard office equipment.
- Experience with or willingness to learn Student Information Systems (SIS) and other data entry platforms related to school operations.
- Demonstrated ability to work independently, manage multiple priorities, and adapt to shifting needs in a fast-paced environment.
- Strong organizational and time-management skills with the ability to coordinate multiple tasks and deadlines.
- Ability to maintain confidentiality and exercise discretion when handling sensitive student or staff information.
- Team-oriented, dependable, and self-motivated, with a proactive approach to problem solving.
- Detail-oriented, organized, and committed to accuracy in all work.
- Understanding of how marginalization impacts those served and employed by Goodwill and demonstrated respect for diversity of thought, culture, and lived experience.
- Ability to cross-train with campus administrative staff to support continuity of front desk operations when needed.
- Must pass a criminal background check and complete fingerprinting as required by state law.
PREFERRED QUALIFICATIONS:
- Experience supporting multiple leaders, departments, or campuses simultaneously.
- Experience working in charter schools, adult education, or nonprofit environments.
- Experience coordinating large meetings, events, or cross-departmental initiatives.
