Finance Assistant/Executive Assistant

Position Overview

The Operations Assistant plays a key role in supporting day-to-day operations and ensuring the efficiency of internal processes. This position requires attention to detail, professionalism, and a proactive approach to administrative and operational support.

Responsibilities
  • Manage and execute monthly billing and statement processes
  • Scan, file, and organize financial documents
  • Enter and maintain data across multiple firm databases
  • Process tax returns and audit reports as needed
  • Prepare and manage various mailings, including Regular, Certified, Overnight, and local deliveries
  • Operate office equipment (computers, scanners, copiers, postage machines)
  • Greet clients, support executive staff, and coordinate with vendors and visitors
  • Analyze data to assist with inquiries from clients, vendors, and the public
  • Maintain inventory and restock office supplies and snacks
  • Monitor and distribute firm email and fax communications
  • Conduct daily end-of-day runs to the post office and bank, as required
  • Reconcile courier and local delivery service statements monthly
  • Coordinate recognition efforts for employee birthdays and anniversaries
  • Provide training to new Operations team members on front office protocols
  • Support facilities management tasks
  • Assist with ad hoc administrative projects
Qualifications
  • 1–5 years of professional office experience
  • Strong client service and interpersonal communication skills
  • Highly organized with strong attention to detail
  • Proficient in Microsoft 365 (Outlook, Teams);
    Excel and SharePoint experience strongly preferred
