This position provides administrative support to the Global Sustainability Leadership Institute (GSLI) at the McCombs School of Business. The Senior Administrative Associate will assist the Managing Director and Senior Program Manager with program execution, communication, and the coordination of the GSLI’s Minor Degree program.
Administrative Support- Process expense authorizations, purchase requests, bill payments, and reimbursements using the McCombs intranet system.
- Support the SIIF internship fund and affiliated student organizations (e.g., ordering materials, booking rooms).
- Organize and manage GSLI documents via UT Box and Google Drive, maintaining access and records.
- Attend staff meetings, take notes, and handle general office duties and inquiry referrals.
- Schedule meetings, send calendar notifications, and maintain a budget spreadsheet of purchases.
- Represent the GSLI at academic fairs and events, articulating the center’s mission, programs, and application process.
- Document organizational processes and support the transition to the Institute for Sustainability and Leadership.
- Coordinate branded product orders, licensing requests, and inventory management.
- Monitor social media, create content, and update the McCombs CMO office’s social media calendar.
- Contact campus and community partners with event information and compile the GSLI’s newsletter, The Innovator.
- Manage flyers, mailings, and support student workers in producing communication materials.
- Help document event impact, develop surveys, impact reports, and video storyboards; edit images and videos as needed.
- Provide general support for workshops, guest speakers, and student organization activities.
- Assist in programming development, research other school’s programs, and schedule management.
- Plan logistics, manage registrations, and coordinate with Media and Tech services for recordings and equipment.
- Maintain member lists, submit room reservations, manage catering, and coordinate joint events with campus partners.
- Support the development of the Sustainability Minor and the operations of the Faculty Committee.
- Coordinate with the McCombs Undergraduate Office and other campus entities for course listings and approvals.
- Generate communications lists for the Minor and seek departmental approval for course listings.
- Bachelor’s degree and at least three years of program administration experience (or seven years with a High School Diploma/GED).
- Ability to manage complex calendars, coordinate meetings and events, and organize logistics in a fast‑paced environment.
- Strong written and verbal communication skills for interacting with faculty, staff, students, alumni, donors, and external partners.
- Excellent organizational skills, attention to detail, and ability to track deadlines and maintain records.
- Collaborative teamwork with independent work capabilities and limited supervision.
- Commitment to providing responsive, high‑quality service to stakeholders.
- Proficiency with MS Word, Excel, Outlook, and comfort learning new technologies.
- Relevant education and experience may be substituted as appropriate.
- Bachelor’s degree in Sustainability, Business, Communication, Marketing, or Education.
- Work experience in sustainability‑focused organizations.
- More than the required relevant experience.
- Experience advising or supervising students.
- Experience managing social media in a business environment.
- Experience with graphic design (Canva, Adobe).
- Experience with University of Texas policies and administrative systems.
$50,000 + depending on qualifications
Working Conditions- Standard office conditions in a shared office environment.
- Some evening and weekend hours may be required during peak periods and special events.
- Repetitive keyboard use.
- Should be able to lift up to 25 lbs.
