Overview
Admissions Specialist at Magellan International School supports the Director of Admissions in managing the recruitment lifecycle, student records, and ensuring a seamless experience for prospective and current families. This role is ideal for someone who thrives on independent, detail-oriented work in a mission-driven environment.
Responsibilities- Event Coordination, Recruitment, and Relationship Building: assist in coordinating logistics for on-campus and off-campus recruiting events, including information sessions, school tours, and interviews; build and nurture relationships with prospective families to provide a personal, warm experience throughout the admissions process; represent the school at school fairs, conferences, and other local community events; promote the school’s benefits to prospective families by hosting events that highlight the school;
develop positive relationships with families to ensure continued engagement and commitment to the school; select, coordinate and mentor students in the Gator Aides’ ambassador program. - Admissions Process: oversee the admissions process for prospective families from inquiry to enrollment; field inquiries, lead campus tours, conduct interviews, and ensure completeness of each application before committee review; coordinate with the Admissions team to ensure timely communication with families; collaborate with other departments to ensure smooth transitions for families from the admissions office to campus life after enrollment.
- Application and Enrollment Oversight: coordinate the review of applications with the Admissions Committee, ensuring alignment with the school’s mission and academic standards; assist with the generation and distribution of contracts, task lists, and other enrollment-related documentation; assist with re-enrollment activities and contribute to monitoring attrition and retention rates.
- Operational Support and Cross-Department
Collaboration:
assist in coordinating the Admissions office’s day-to-day operations and scheduling of key events; support the Admissions team in the execution of tasks and provide feedback to improve processes; collaborate with other departments and academic section leaders to ensure alignment of goals and smooth communication throughout the admissions season; coordinate internal communications for the Admissions team, ensuring that all staff are updated on the progress of the admissions cycle;
manage the Admissions office calendar to ensure consistent coverage for tours, inquiries, and visitors; serve as the primary backup for the Director in their absence. - Data Management and Reporting: organize and manage electronic files, task lists, and spreadsheets for accurate record-keeping; generate reports from the admissions database to inform strategy, track trends, and guide decision-making; provide necessary data and insights to the leadership team to help inform recruitment and enrollment strategies.
- Professional Development and Market Competitiveness: stay current on enrollment management trends by attending webinars, courses and conferences; apply new insights to maintain the school’s competitiveness in the market.
- Registrar: process new student enrollments and build their electronic student records; request, collect and verify required documents (e.g., transcripts from previous schools), including legal documents (e.g., custody agreements); manage student withdrawals, which may include packaging and sending official academic files to the next school; respond to and execute requests for student records; generate official high school transcripts, including calculating GPAs and logging completed credits in collaboration with the College Counselor;
fulfill official transcript requests for transferring students, graduating seniors, and alumni; create customized data reports (e.g., attrition rates, enrollment numbers) for the Head of School, Board of Directors, or accreditation agencies.
Preferred Qualifications
