Overview

The US Oncology Network is looking for a Patient Services Coordinator to join our team at Texas Colon and Rectal Specialists, a subdivision of Texas Oncology. This full‑time position will support the TCRS North clinic at 13915 N. Mopac Expwy, Suite 100 in Austin, Texas. Typical work week is Monday through Friday, 8:00 a.m. – 5:00 p.m.

This position can be level 1, 2, or Sr based on relevant work experience.

What does the Patient Services Coordinator do?

The Patient Services Coordinator professionally greets and welcomes patients and their friends/family, registers and schedules appointments efficiently, answers, screens, and directs all incoming calls to appropriate personnel, relays messages between patients and clinical staff, and supports the US Oncology Compliance Program.

Responsibilities
  • Greets patients and visitors at the clinic in a prompt, courteous, and professional manner and checks them in.
  • Provides and explains paperwork; collects, proofs, and files forms; updates demographics and insurance information; collects co‑pays and provides receipts.
  • Answers, screens, and responds to routine questions, routes to appropriate personnel, takes thorough messages, and pages staff as needed.
  • Checks patients out after examination, schedules returning appointments, and provides appointment details such as time, location, directions, and instruction sheets.
  • Records cancellations and missed appointments, reschedules, and notifies appropriate staff.
  • Provides general administrative support by filing charts and forms and maintaining a neat lobby and supplies.
  • Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records.
  • Performs other duties as requested or assigned, including typing memos and forms.
Qualifications Level 1
  • High school diploma or equivalent required.
  • Some receptionist or office experience preferred.
  • Proficiency with computer systems and Microsoft Outlook, Word, and Excel required.
  • Must successfully complete required e‑learning courses within 90 days of starting.
Level 2
  • At least 18 months front‑line medical office receptionist experience with insurance forms and scheduling software required.
  • Knowledge of the practice’s personnel, daily routines, and scheduling a plus.
Level Sr
  • At least 5 years front‑line medical office receptionist experience with insurance forms and scheduling software required.
Physical Demands

Employee is regularly required to sit and use hands to finger, handle, or feel; occasionally required to stand, walk, and reach with hands and arms; must lift and/or move up to 30 pounds. Vision and hearing corrected to normal ranges required.

Work Environment

The work requires frequent interaction with patients and staff.
