Schedule:
Full-time | Monday–Friday | 9:00 AM–5:00 PM CST
Day to Day Responsibilities
- Own executive calendar management, scheduling, inbox organization, and daily priorities.
- Drive projects from kickoff to completion, ensuring nothing falls through the cracks.
- Follow up proactively with team members, vendors, and clients until commitments are completed.
- Handle administrative tasks quickly, accurately, and independently.
- Coordinate meetings, agendas, notes, and action items.
- Prepare reports, presentations, spreadsheets, and business documents.
- Document processes and continuously improve operational systems.
- Identify inefficiencies and implement smarter workflows.
- Manage confidential information with professionalism and discretion.
- Answer client and vendor calls with confidence and excellent communication.
- Assist with occasional errands or special projects as needed.
- Track project progress and KPIs, providing consistent updates to leadership.
Skills to be Successful
- 3+ years in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role.
- Experience supporting founders, executives, or business owners.
- Exceptional organization, attention to detail, and follow-through.
- Strong written and verbal communication skills.
- Comfortable making decisions independently and solving problems proactively.
- Able to juggle multiple priorities without sacrificing quality.
- Tech-savvy with the ability to quickly learn new systems.
- Experience with Google Workspace, Asana, Slack, Zoom, High Level (GHL), AI tools, spreadsheets, or similar platforms.
- Real estate experience or familiarity with industry terminology is highly valued.
- Fluent in both English and Spanish is preferred.
