Part Time Administrative Assistant Job Summary
- The Administrative Assistant is the main administrative staff member for KMFA, working to create an initiative‑taking, service‑oriented environment in support of KMFA staff, stakeholders, and activities.
- The Administrative Assistant works with and across all departments of KMFA and may be assigned tasks by other Senior Directors. This position may collaborate with other staff coordinating volunteers. Reports to the Manager of Finance, Facilities & Administration.
- Greets visitors to KMFA’s facility and ensures they are directed to the appropriate staff member within the building.
- Monitors front door via video monitoring system and serves as first point of contact to grant access to all visitors during business hours.
- Accepts deliveries to KMFA’s facility.
- Answer phones, updates main phone line voicemail and phone tree, responds to visitor feedback, and distributes mail and packages.
- Maintains and updates Staff Calendar in Microsoft Outlook, sending invitations and setting up meetings for staff as needed.
- Updates KMFA website when needed as requested by Senior Directors.
- Orders and maintains office supplies, business cards, postage meter, and shipping supplies.
- Coordinates with FF&A Manager to manage employee appreciation and holiday cards as needed.
- Maintain office supplies and coffee and hospitality service in coordination with FF&A Manager.
- Assist in maintaining the overall organization of shared areas for the employees.
- Minimum 1 year performing administrative work including business correspondence, telephone communications, meeting planning, and problem solving or equivalent combination of applicable education and experience.
- Excellent organizational skills and diligence including the ability to proofread documents and maintain accuracy of details in a fast‑paced setting.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Demonstrates good judgement and possesses excellent interpersonal communication skills.
- Ability to troubleshoot, problem solve, and collaboratively create systems that contribute to a smooth, efficient, and smart working environment.
- Coordinate and execute small project as assigned.
