RCT Coordinator (Austin)

RCT Coordinator (Austin) Description

Texas Workforce Commission connects people with careers across the state. While we are based in Austin on the north lawn of the Texas State Capitol, we have offices statewide. We're a Family Friendly Certified Workplace with great work-life balance, competitive salaries, extensive opportunities for training and development, and fantastic benefits. This position is located at 1117 Trinity St, Austin, TX, in the Communications & Partners department.

TWC is not considering applications from individuals who require sponsorship for an employment visa, including those with H1B visas or those currently on student or postgraduate visas. You must be a Texas resident to work for the Texas Workforce Commission or willing to relocate to Texas.

The ideal candidate is highly organized, possesses strong event logistics and technical skills, and is dedicated to ensuring accessibility across all council operations. This position plays a critical role in ensuring the successful execution of council initiatives by coordinating hybrid meetings, managing communications and outreach, processing travel and procurement, and acting as the primary liaison between the council, state partners, and the Governor's Office.

The RCT Coordinator (Planner II) performs routine (journey-level) planning, operational, and administrative work supporting the Rehabilitation Council of Texas (RCT). Works under moderate supervision, with limited latitude for the use of initiative and independent judgment.

You will be trusted to:

  • Plan, coordinate, and execute logistics for hybrid quarterly council meetings, committee meetings, strategic planning sessions, and Comprehensive Statewide Needs Assessment town halls. Provide live technology support during online/hybrid meetings, present verbal budget and travel reports to the council, and prepare official meeting minutes from audio/video recordings.
  • Serve as the primary point of contact for external partners and stakeholders. Coordinate meetings and collaborations with groups such as the Statewide Independent Living Council (SILC) and communicate regularly with the Governor's Office to facilitate, process, and track RCT member appointments.
  • Monitor, triage, and respond to all incoming RCT communications via email and phone, distributing pertinent information to council members. Organize logistics for RCT conference participation, ensure proposed conferences and activities are routed through proper approval channels, and represent the council by staffing exhibit tables at events as needed.
  • Process requisitions for all council operations, including office supplies, website expenses, and conference registrations. Champion accessibility by procuring and coordinating essential accommodations, including American Sign Language (ASL) interpreters and Communication Access Real-time Translation (CART) services.
  • Manage, update, and maintain accurate information on the external RCT website (src-texas.org) as well as the internal RCT webpage on the TWC intranet site.
  • Maintain official council files and records in compliance with retention schedules. Process all travel authorizations and expense reimbursement forms for RCT members in accordance with state travel guidelines.
  • Project manage the creation of the RCT Annual Report. Gather necessary operational and program data, coordinate cross-functionally with various teams, and oversee the drafting, design, and final publication of the report.
  • Provide general administrative, logistical, and operational support to the broader Communications and Partnership team as needed.
  • Perform other duties as assigned to support the mission of the agency and the council.

You qualify with:

  • Two years of experience in planning and/or research, or in administrative management including experience in planning and/or research.
  • Relevant academic credits may be applied toward experience qualifications for this position.

You are a great fit with:

  • Graduation from an accredited four-year college or university with major coursework in business administration, public administration, communications, planning, or a related field.
  • Minimum of two (2) years of experience in planning, program administration, event coordination, or executive administrative support.
  • Experience working in state government, specifically with Texas state travel, procurement, and requisition processes.
  • Familiarity with vocational rehabilitation programs, disability services, or working alongside boards and councils.
  • Experience coordinating accessibility services (ADA compliance, ASL, CART).
  • Experience managing website content using standard Content Management Systems (CMS).

You gain:

  • A Family Friendly Certified Workplace.
  • Competitive starting salary: $4,263.17 - $6,150.25/month.
  • Defined Retirement Benefit Plan.
  • Optional 401(k) and 457 accounts.
  • Medical Insurance.
  • Paid time off, including time for vacation, sick and family care leave.
