Responsibilities- Calendar management and scheduling:
Manage complex calendars, prioritize work, and adapt to changing needs. - Administrative support:
Perform office functions to meet critical deadlines, allocate resources, and ensure efficient workflow. - Interdepartmental coordination:
Work with key administrative staff to facilitate smooth workflow. - Meeting coordination:
Schedule meetings, arrange travel and catering for events, and manage contact and committee lists. - Communication management:
Handle internal and external communications, prepare routine correspondence, maintain logs and databases, and act as liaison for leadership. - Research and project support:
Conduct necessary research and data compilation; coordinate with departments to support project execution; take minutes as needed. - Document management:
Maintain and organize documents, prepare reports and presentations, ensure confidentiality, and manage databases. - Financial support:
Process travel and purchasing, assist with budget-related tasks, and reconcile accounts.
- Required: High School Diploma or GED; at least 5 years of experience in administrative/clerical support, including 2 years at Administrative Assistant or Administrative Associate level.
- Preferred: Experience in an academic healthcare setting; working knowledge of UT policies; advanced Microsoft Office skills; strong calendar management and problem-solving abilities.
Relevant education and experience may be substituted as appropriate
Salary and BenefitsSalary range: $49,769+ depending on qualifications. Employment benefits as per University policies.
