Job DescriptionPrimary
Purpose:
Under direct supervision, provide clerical assistance for the effective operation of the Department of Curriculum and Instruction and facilitate student data record operations in the PEIMS Office.
Minimum Qualifications:
Education/Certification
High school diploma or GED equivalent (recognized by the Texas Education Agency or a regional accrediting agency)
Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the employee.
Knowledge/
Skills:
Computer proficient in Microsoft Office
Effective organizational, communication, and interpersonal skills
Ability to use personal computer word processing software to develop spreadsheets and databases
Ability to maintain accurate and auditable records
Basic math skills
Experience:
Three (3) years previous clerical experience

Organization Management
The administrative assistant manages administrative, fiscal, and facilities functions responsibly through activities such as the following:
- Help parents acquire appropriate student records
- Receive incoming calls and answer questions related to PEIMS, take reliable messages, and route to appropriate staff
- Print reports using database information including attendance reports, class rosters, end of semester reports and others as needed
- Assist in compilation of special requests for report downloads
- Organize, compile, and distribute the Weekly Membership Report
- Key and verify results according to procedures provided
- Monitor and facilitate data correction initiatives
- Maintain files on students at Travis County Juvenile Detention, Gardner Betts, and Travis County Juvenile Justin Alternative Program
- Query systems to provide student record data to meet legal requirements for record requests
- File, organize, and compile office documents as requested.
- Maintain computerized files using personal computer, including reports, employee rosters, and mailing lists.
- Assist in scheduling of meetings and provide clerical assistance.
- Assist other Curriculum & Instruction paraprofessional staff as needed.
- Perform other duties as assigned by Curriculum & Instruction supervisors.
