PurposeThe Event Coordinator supports the planning and execution of Texas Law alumni events by coordinating event logistics, administrative processes, and on-site event operations to ensure successful events that reflect the Law School's mission of excellence.
Responsibilities- Assist with the planning and execution of Texas Law alumni events by following established event production templates and The University of Texas policies and procedures. Responsibilities include, but are not limited to, creating event registration pages, maintaining the event calendar, coordinating event requests, submitting work orders, processing payments, submitting contracts, developing event timelines, scheduling planning meetings, tracking and compiling event metrics, preparing event supplies, and maintaining organized event inventory and event files.
- Coordinate on-site event operations, including assisting with event setup and teardown, staffing check‑in tables, and successfully managing multiple responsibilities simultaneously during events. Occasional travel and work outside of normal business hours, including evenings and weekends, is required.
- Assist with event outreach initiatives using communication platforms. Proofread event communications for accuracy and consistency, and collaboratively manage the Events inbox by monitoring, prioritizing, and responding to inquiries in a timely and professional manner.
- Perform other related duties and responsibilities as assigned.
- Bachelor's degree.
- Three years of experience coordinating a wide range of events.
- Excellent communication skills and detail oriented.
- Demonstrate the ability to prioritize responsibilities, problem solve, manage multiple concurrent projects, and meet deadlines.
- Show initiative and good judgment.
- Able to work independently and as a part of a team.
- Strong positive interpersonal and customer service skills.
- Must be composed and professional under stress to effectively represent the Law School.
- Proficiency in MS Outlook, MS Excel, and MS Word.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications- More than the required years of experience in event coordination.
- Excellent project management and organizational skills.
$50,000 + depending on qualifications
Working ConditionsMay work around standard office conditions. Repetitive use of a keyboard. Lifting and moving as associated with set up and break down of events. Duties require some evening and occasional weekend work to coordinate special events and programs as needed.
