Maxim Direct is a fast-growing and financially stable third-party logistics (3PL) transportation broker, specializing in serving the automotive wholesale dealer OEM parts industry. We seek a detail-oriented and highly organized Administrative Assistant to join our team in Austin, Texas.
This role is ideal for a career-minded professional with 1-2 years of experience in an administrative role, particularly in Cash on Delivery (COD) processing, billing analysis, or a similar field requiring strong organizational, problem-solving, and communication skills.
We are looking for a candidate who is proactive, analytical, and customer-focused, with a strong work ethic and a drive to succeed in a fast-paced environment.
Schedule & Compensation:
- Monday to Friday, 8 AM – 3 PM (with a one-hour lunch break).
- Starting at $18-$19 per hour, with growth opportunities and potential pay increases after a successful 90-day probationary period.

Key Responsibilities:
- Ensure drivers submit checks for COD deliveries in a timely manner.
- Review and scan driver manifests daily to ensure accurate records.
- Perform data entry for COD posting using e-Courier software.
- Identify and resolve COD discrepancies efficiently.
- Answer and direct phone calls professionally.
- Communicate with company delivery drivers and automotive dealership customers to address inquiries and provide support.
- Process invoices and payables accurately.
- Maintain customer contact lists and keep records updated.
- Draft and distribute emails, letters, faxes, and other correspondence.
- Organize and maintain filing systems.
- Support additional administrative tasks as directed by the supervisor.
Qualifications & Skills:
- 1-2 years of experience in an administrative or similar role (experience in COD processing or billing analysis is a plus).
- Proficiency in Microsoft Word, Excel, and data entry tasks.
- Strong attention to detail with a high level of accuracy.
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Ability to manage conflicts effectively and solve problems proactively.
- Dependable, trustworthy, and committed to meeting deadlines.
- A people-first mentality with a positive and professional attitude.
