PURPOSE

Creates and maintains provider and physician urgent care, after-hours and holiday schedules. Provides administrative/analytical support to Clinic Management team with projects and tasks, including any clinic needs on the floor. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.

ESSENTIAL FUNCTIONS
  • Responsible for creating and maintaining the monthly provider and physician urgent care, after-hours and holiday schedules for all applicable clinics.
  • Communicates and works with Department Chiefs on call schedules.
  • Helps maintain provider time off requests; enters PTO or worked hours in timekeeping system as needed.
  • Provides administrative and analytical support to members of the Clinic Management team.
  • Provides assistance to the support staff, providers, and management team to ensure efficiency of the clinic, to include phone and floor coverage.
  • Receives calls from patients and providers and provides resolution or disseminates to appropriate member of Management team in a timely manner.
  • Helps maintain provider schedules and time off requests.
  • Coordinates facility requests.
  • Formats, types, and proofs correspondence including memos, letters, and other documentation.
  • Assists in the coordination of meetings, issuing reminders, confirming attendance, and ordering requested items for the meetings.
  • Responsible for ensuring the completion of clinic projects.
  • Compiles and maintains the on-call schedules for each department and enters it in Amion and any other needed location while ensuring outside entities receive the call schedules.
  • Responsible for/assists with creating and maintaining the holiday staff schedule.
  • Assists/supports AH staff scheduling as needed.
  • Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
  • Regular and dependable attendance.

  • Performs other duties as assigned.
QUALIFICATIONS

Education and Experience

Required: High school diploma or GED.

Preferred: Two (2) or more years of office assisting or clerical experience.

  • Proficient with using Microsoft Office applications with intermediate skill level in Microsoft Outlook, Word, and Excel.
