Job Description

TERMS OF EMPLOYMENT

Length of position: 12 months

Hours:

Varied work shifts between 6:00

A.M- 6:00 P.M.

SUMMARY:

Performs highly complex administrative support or technical duties. Work involves gathering information, preparing and checking documents for accuracy, handling and transporting documents and maintaining files. Works under moderate supervision with limited latitude of the use of initiative and independent judgment. May train others on proper procedures.

ESSENTIAL FUNCTIONS
  • Answer phones (may require use of Video Phone), and assist visitors and staff in a courteous, professional manner.
  • Assists in the development and orienting staff of departmental procedures.
  • Assists in orienting employees with procedures and policies.
  • Assists in preparing or prepares, reports, memos, purchase orders, correspondence, summaries, manuals, vouchers, journals, ledgers, requisitions, time sheets and leave records, and other related forms. Modifies and retains forms or records as required.
  • Performs data entry, retrieval, and data searches for fleet, student and other department information.
  • Obtains, assembles, organizes and maintains files including leave/overtime related files/forms and documents.
  • Collects/delivers office mail to the TSD mail room daily and distributes office mail to staff.
  • Delivers or collects documents, supplies, equipment or materials as needed.
  • Maintains current inventory of office supplies.
  • Receives and inspects department ordered including Issues from Stock, parts, and supplies.
  • Processes invoices and obtains quotes as required.
  • Assists Dispatcher as needed and performs Dispatcher’s basic duties each afternoon and in his/her absence.
  • Assists in planning meetings and training sessions.
  • Arranges for repairs and services as required.
NON-ESSENTIAL FUNCTIONS
  • Posts and maintains current information for department bulletin boards.
  • Assists Transportation staff with timekeeping inquiries.
  • Functions as a School Bus Monitor or School Bus driver (if licensed appropriately) as needed.

Minimum Qualifications:

1. High school diploma or equivalent

2. Two years of experience as an administrative assistant and in office management

3. Experience working with Microsoft Office (Word, Excel, Power Point)

4. Sign Language:
The ultimate required proficiency level for the position using the levels designated in the Signed Language Proficiency  Interview (SLPI) is INTERMEDIATE. If hired with a sign language proficiency level below this level, you are required to participate in signed communication learning opportunities on a regular basis until you have achieved the sign language proficiency level assigned to your position.

Desirable Qualifications

1. Proficient signed communications skills

2. Bachelor’s degree in education, deaf education, special education, business, or communications

3. Four years of experience as an administrative assistant in a school or state agency

4. BEI interpreter certification

5. Familiar with IEP/ARD process and terminology

6. Familiar with Google Calendar, Trans Finder/Trip Finder, OVFM, Power School

7. Accuracy in the area of general office practices, spelling, grammar, record keeping, filing, and telecommunications

8. Possesses a Class B Texas Commercial Driver’s License (CDL) with Passenger & School Bus Endorsements appropriate for operating school buses.
