Workplace Experience Coordinator

Austin, TX HQ

Do work that matters.

At Alert Media, we help organizations protect their people, operations, and brand. Our modern Risk Intelligence and Response platform empowers teams to detect emerging threats, assess impact, and respond with confidence. We believe building resilience should be simpler—and it starts with bringing critical information and workflows together in one unified platform.

Our core values drive us in our important mission of keeping people safe & informed:

  • We're humans not robots
  • Customers always come first
  • We work better together
  • Simplicity is our strength
  • Our reputation is priceless
  • Hard work pays off

Alert Media is seeking a Workplace Experience Coordinator to join our growing People team in our beautiful downtown Austin headquarters! In this highly visible role, you'll help bring our culture to life by creating thoughtful, engaging experiences that make employees and visitors feel welcomed, connected, and supported.

Who you are:

You're a highly organized, people-focused coordinator who takes pride in creating meaningful workplace experiences. You bring warmth and professionalism to every interaction, whether you're welcoming a visitor, supporting an executive, coordinating an employee event, or partnering with teams across the business. You're comfortable managing multiple projects at once and have the attention to detail and follow-through to keep everything running smoothly.

You enjoy turning ideas into memorable experiences, and you're equally willing to lead a large company event or jump in to handle the small details that make it successful. You're proactive, resourceful, and energized by a fast-paced, collaborative environment. Most importantly, you genuinely care about creating a workplace where employees feel connected, appreciated, and excited to be part of the team.

What you get to do every day:

  • Coordinate our culture crew and recurring culture moments: treat weeks, wellness weeks, cultural celebrations, and Friday breakfast, keeping them consistent, fun, and on-brand
  • Coordinate the company-wide values awards program each quarter in partnership with the Chief People Officer
  • Create a warm, well-run front-of-house experience, including visitor and interview room prep
  • Provide executive assistant support to up to two of our executive leaders: calendar and meeting coordination as needed
  • Partner with leaders across the business to develop engaging, informative Tuesday lunch and townhall presentations
  • Own employee gifting for holidays, work anniversaries, and new babies using our employee gifting platform
  • Own and grow the employee store, sourcing and ordering branded merchandise like shirts, sweaters, and hats
  • Own AV, room setup, and deck prep for on-site events including Town Halls and Tuesday lunches
  • Serve as a member of the Workplace Safety Committee
  • Partner with the Office Manager on moments where facilities and culture intersect for logistics and all-hands setup
  • Gather employee feedback after events and programs, and use it to continuously improve what comes next

What you bring to the role:

  • One to three years of experience in workplace experience, employee engagement, hospitality, event coordination, or a related field
  • Strong organizational skills and the follow-through to manage multiple programs and projects at once without dropping details
  • A warm, approachable presence and excellent interpersonal skills, comfortable engaging with employees, executives, and visitors alike
  • Comfort coordinating with vendors and platforms (like our employee gifting platform) without owning the vendor relationship itself
  • Proficiency with common workplace tools (Microsoft 365 with heavy PowerPoint usage, Slack); experience with event-planning or gifting-platform tools is a plus
  • A proactive, detail-oriented, no-task-too-small mindset, and genuine enthusiasm for creating a great employee experience
  • Ability to be onsite at Alert Media's Austin headquarters Monday-Friday during normal office hours
  • Ability to lift or move materials as needed
  • Self-starter and team player, willing to jump in on all projects as needed
  • Excellent communication, collaboration, and prioritization…
