WHAT YOU WILL DO

As the Staff Services Officer III, you will provide comprehensive administrative and operational support for the LMI department. In this role, you will be the primary point of contact for general administrative matters and will serve as the department's designated liaison for purchasing, records management, and accessibility. You will manage and organize the department's SharePoint document repositories, coordinate HR and staffing activities, manage the physical office environment and inventory, and support specialized program units.

This position performs complex (journey-level) staff services work and operates under general supervision with moderate latitude for the use of initiative and independent judgment.

YOU WILL BE TRUSTED TO
  • Serve as the primary point of contact for departmental communications, customer inquiries, visitor assistance, parking coordination, telecommunications, and work schedules.
  • Act as the LMI Purchasing Liaison, preparing purchase requests, coordinating contract workflows, monitoring procurement activities, and assisting with budget support and financial reporting.
  • Establish, organize, and maintain the department's Microsoft SharePoint sites, document libraries, and shared files, ensuring intuitive folder structures and appropriate access permissions for staff.
  • Coordinate human resources and staffing support, including assisting with recruitment activities, job postings, onboarding paperwork, and employee documentation.
  • Act as the designated Records Management Liaison (RML) and Property Control Officer (PCO), maintaining records according to retention schedules, tracking BLS training/agreements, and coordinating physical inventory certifications.
  • Serve as the department's Accessibility Liaison, ensuring digital and printed materials comply with accessibility standards and providing remediation guidance to staff.
  • Manage the physical office environment, including ordering office supplies, coordinating equipment maintenance, resolving facility issues, and leading workspace preparation for new employees or office moves.
  • Provide operational and administrative support to the OEWS and QCEW programs by assisting with mail processing, survey administration, records handling, and data collection support.
  • Handle general administrative duties such as managing incoming/outgoing mail, formatting and proofreading documents, and responding to general HR and timekeeping inquiries.
  • Perform other duties as assigned.
YOU QUALIFY WITH
  • One year and six months of full-time experience in business management, human resource administration, budget preparation or control, or a related staff services function.
  • Relevant academic credits may be applied toward experience qualifications for this position.
YOU ARE A GREAT FIT WITH
  • Strong proficiency in Microsoft SharePoint, with demonstrated experience managing document libraries, folder structures, and user permissions.
  • Proven experience serving as an administrative liaison for purchasing, human resources, facility operations, or records management within a state agency.
  • Experience and familiarity with digital accessibility standards (WCAG, Section 508) and document remediation.
  • Exceptional customer service and interpersonal skills with the ability to build strong working relationships across multiple departments.
  • Demonstrated flexibility and adaptability in absorbing new responsibilities and supporting various business functions simultaneously.
  • Experience coordinating large-scale operational tasks, such as inventory certification, records retention compliance, or office moves.
  • Proficiency in using computers, Microsoft Office applications, and administrative software.
  • Knowledge of office management, information organization, and human resource administration principles.
  • Knowledge of fiscal, purchasing, and budgeting techniques and practices.
  • Knowledge of agency programs, policies, and procedures, including records management and accessibility compliance.
