Job Overview

Disaster Assistance Administrative Assistant (Administrative Asst IV) provides comprehensive office and operational support for the Other Needs Assistance (ONA) provision of the Federal Assistance to Individuals and Households Program (IHP). The role involves managing administrative processes, maintaining records, supporting staff logistics, and ensuring efficient day‑to‑day office operations.

Telework up to three days per week may be available based on performance, compliance with the agency’s telework policy, and business requirements after successful completion of a 30‑day training period.

Responsibilities
  • Manage ordering and inventory of supplies, forms, furniture, and equipment.
  • Communicate effectively with internal and external stakeholders to address inquiries, resolve problems, and manage complaints.
  • Prepare and review correspondence, forms, and other documents such as letters, memos, travel orders, or job announcements.
  • Process payment vouchers to ensure accurate and timely vendor payments.
  • Manage and maintain calendars for assigned staff or functional areas.
  • Compile materials for meetings, presentations, and trainings.
  • Plan, schedule, and coordinate staff travel to Disaster Recovery Centers.
  • Compile, update, and distribute daily reports to leadership.
Qualifications
  • High School graduate or equivalent.
  • One (1) year of experience in an office environment.
  • Knowledge of office practices, records administration and maintenance, and business or program terminology.
  • Skill in working with the public and public groups; communicating orally and in writing; and performing basic mathematical computations.
  • Ability to maintain complex records and files; establish and maintain effective working relationships; assist in developing office policies and procedures; and establish priorities, manage time efficiently, and complete work within required time frames.
  • FEMA background check required; U.S. citizenship required.
Compensation and Work Schedule

Salary range: $3,248.00 – $4,837.08 per month. Shift: Day. Full time, temporary appointment. Travel up to 10% may be required.
