Aboutthe Role
We are looking for a reliable and friendly Front Desk Receptionist to be the face of our office. This role is key to keeping daily operations organized and making sure our clients feel welcomed and taken care of.
This is a steady, quiet office environment most of the time, so we’re looking for someone who is self-motivated, detail-oriented, and able to stay on top of their responsibilities without constant supervision.
ScheduleMonday–Friday, 8:00 AM – 5:00 PM
Responsibilities- Answer and manage calls from current clients
- Greet clients and assist with document drop-offs
- Collect and process client payments as needed
- Scan, upload, and organize client documents
Create and maintain physical and digital files - Receive, scan, and email incoming mail to staff (very important)
- Manage emails from clients and assist case managers with requests
- Forward basic client information to the intake specialist (no intake required)
- Bilingual in Spanish and English (required)
- Friendly, professional, and easy to talk to
- Strong organization and attention to detail
- Comfortable working independently in a quiet environment
- Ability to stay on top of tasks and complete work by the end of the day
- Willing to ask questions and learn to improve efficiency
- Basic computer skills (Excel, Google Docs, email)
- Minimum typing proficiency
- Calm and structured office setting
- Not a high call volume (except around the 5th, 15th, and 20th)
- Clients mainly visit to drop off documents
- Occasional stressed clients — must be able to listen and make them feel heard
- This is a strictly administrative role (no legal advice or case handling)
- Must be comfortable handling payments and sensitive documents
- Staying organized and keeping up with emails is critical to success in this role
