Frontera Space, an aerospace-focused startup, is seeking a Finance & Administrative Assistant to join the finance team as the company scales its aerospace engineering, manufacturing, and cyber/IT services businesses. We are a small, growing aerospace company seeking a dependable and detail-oriented Finance & Administrative Assistant to support day-to-day financial, administrative, and purchasing activities, along with other duties as assigned.
This position will work closely with company leadership and technical personnel and will be responsible for maintaining accurate financial records, processing routine transactions, coordinating basic purchasing activities, and helping maintain orderly administrative processes in a growing and changing environment.
The ideal candidate is highly organized, comfortable working with numbers and spreadsheets, able to manage several responsibilities at once, and willing to take ownership of the routine administrative work required in a small, growing company environment.
What You’ll Do- Finance & Accounting Support
- Process vendor invoices and prepare accounts payable documentation for approval and payment.
- Maintain organized electronic and physical records of invoices, receipts, purchase documentation, and other financial records.
- Assist with credit card reconciliation and collection of supporting receipts.
- Enter and maintain financial information in the company's accounting and administrative systems.
- Assist management and outside accounting personnel with requests for financial documentation.
- Support preparation of customer invoices and supporting documentation when required.
- Assist with gathering and organizing documentation in support of customer, government, or financial audits as required.
- Purchase routine office supplies, consumables, and other low-risk items within established purchasing authority.
- Obtain pricing and availability from vendors for routine purchases.
- Prepare and issue purchase orders as required.
- Maintain purchase order files and supporting purchasing documentation.
- Track open purchase orders and follow up with vendors regarding delivery status.
- Receive and match vendor invoices against purchase orders and receipts.
- Maintain vendor contact and account information.
- Assist with establishment of new vendor accounts and collection of required vendor documentation.
- Coordinate routine shipping, deliveries, and supply orders.
- Escalate technical, high value, controlled, or specialized aerospace purchases to the appropriate technical or management personnel.
- Administrative Support
- Maintain organized company records and electronic filing systems.
- Assist with administration of employee timekeeping, including collection and review of timesheets for completeness.
- Assist with preparation and organization of internal reports, spreadsheets, and supporting documentation.
- Coordinate routine office supply inventory and replenishment.
- Assist with incoming mail, shipping, document preparation, scanning, and filing.
- Support onboarding and administrative paperwork for new employees.
- Maintain confidentiality of financial, employee, customer, and company information.
- Provide general administrative support to company leadership and employees as needed.
- High school diploma or equivalent
- Strong organizational skills and attention to detail
- Comfortable working with numbers and basic accounting concepts
- Proficiency with Microsoft Excel, Word, Outlook, and other general computer applications
- Ability to accurately enter, maintain, and review financial and administrative data
- Ability to prioritize multiple assignments in a small, fast-moving organization
- Strong written and verbal communication skills
- Ability to work independently and follow established approval procedures
This is an on-site position in Greater Austin, Texas. Because of the size of the organization, the successful candidate should be comfortable working directly with company leadership, engineers, technicians, vendors, and outside professional service providers and handling a variety of administrative responsibilities as business needs evolve.
