Position

Summary

The Customer Service Associate provides vital support for both employees and guests, and we are currently seeking someone exceptional for this role. The ideal candidate is dependable and reliable: a problem-solver with excellent communication skills, impeccable attention to detail, and experience working in an office environment performing administrative tasks and supporting coworkers. The regular work hours for the Customer Service Associate are Monday to Friday from 8:00 am to 5:00 pm, with the expectation to work 10:00 am to 7:00 pm periodically based on evening events.

You’ll Do
  • Manage the front-desk and reception area, serving as the first point of contact for guests, employees, job candidates, and vendors
  • Greet employees and guests in a friendly, professional manner in person or by telephone and connect them with the appropriate staff or services that will best serve their needs
  • Serve as designated back-up to the Building Manager, helping maintain continuity of day-to-day building operations when the Building Manager is unavailable
  • Manage supply inventory and provide weekly updates on office and kitchen supplies
  • Support building procedures, vendor relationships, facility systems, emergency protocols and operational routines necessary to provide effective back-up coverage
  • Provide weekly walkthroughs of common areas and exterior spaces, identifying issues and communicating or escalating them appropriately
  • Provide information as requested both internally and externally regarding CIS activities and resources
  • Maintain a reception area that is neat and makes employees and visitors welcome
  • Open and close front desk according to standard procedures
  • Support operational needs of the facility, including working with vendors, managing purchases, and ensuring facility needs are addressed
  • Perform general administrative tasks, such as answering and directing phone calls, handling incoming and outgoing mailings, and receiving deliveries
  • Maintain an accurate schedule for conference rooms and the organization’s shared calendars
  • Support the facility rental process for outside organizations, including managing rental agreements, ensuring technology support, setting up rooms, and returning them to standard use after
  • Provide ad hoc support to staff members and departments, including on-site meetings, large mailings and projects
  • Copy and collate materials as requested/schedule through the Print Shop
  • Push and maneuver carts containing supplies, equipment, or materials.
  • Occasionally lift and carry up to 25 pounds. Move and/or reposition boxes, office supplies, deliveries, and other materials.
  • Occasionally bend, stoop, crouch, and reach to access, organize, stock, or clean low and elevated areas.
  • Promote and maintain agency culture, standards, and systems
  • Participate in the CIS team approach to service delivery and problem-solving
  • Other duties as assigned by the Central Office Manager or Chief Operations Officer
