Position Type: Part-Time, up to 30 hours/week, Non-Exempt; occasional evenings and weekends
Salary: $20–$24 per hour, commensurate with experience
Reports To: Chief Executive Officer (CEO), in partnership with the Director of Operations & Facilities
Location: Houston, Texas (on-site)
About the MuseumThe Buffalo Soldiers National Museum preserves and shares the stories and contributions of the African American military experience through its permanent collections, exhibitions, educational programming, and performing and visual arts.
Position SummaryThe Administrative Assistant provides administrative support to BSNM's leadership team, split between the CEO and the Director of Operations & Facilities. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities, helping leadership maintain an effective and productive workflow that supports the overall success of the Museum.
Key Responsibilities- Support calendar management, meeting scheduling, and appointment coordination for the CEO and Director of Operations & Facilities as needed.
- Prepare and edit correspondence, communications, and other documents.
- Handle incoming and outgoing communications, including emails and phone calls, prioritizing as needed.
- Maintain confidential and sensitive information with discretion.
- Coordinate logistics in partnership with the Director of Operations & Facilities for meetings, conferences, and events, including booking venues and arranging catering.
- Support the planning and execution of special projects and initiatives.
- Track project timelines and deliverables to help ensure deadlines are met.
- High school diploma required; equivalent combination of education and experience considered.
- Minimum 2–3 years of administrative experience, preferably in a nonprofit setting.
- Exceptional organizational and time-management abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High attention to detail and accuracy.
- Bachelor's degree in a related field.
- Experience working with diverse communities.
- Experience supporting both executive and operational leadership simultaneously.
- Flexibility and adaptability to changing priorities and tasks.
- Genuine interest in African American history and BSNM's mission.
